Administrative Assistant for Helping Hearts
Helping Hearts is seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will be responsible for managing daily administrative tasks, coordinating schedules, and supporting our mission to provide compassionate care.
Key Responsibilities:
- Answer and direct phone calls
- Organize and schedule meetings and appointments
- Maintain contact lists
- Produce and distribute correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Order office supplies and research new deals and suppliers
- Book travel arrangements
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
Qualifications:
- Proven experience as an Administrative Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS PowerPoint, Google Docs & Spread Sheets, Zoom and Google Meets in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
