Our organization supports domestic, international, and foster care adoptions, providing grants of up to $30,000. We do not charge applicants to apply for assistance and are deeply committed to making a meaningful impact in the lives of children and families.

We are seeking a proactive Grants Program Assistant with strong organizational, technical, and writing skills to support our grant tracking processes and communications. Position Overview

As the Grants Program Assistant, you will play a critical role in managing grant data, overseeing records, assisting with writing and reporting tasks, and supporting process improvements. You will assist with tracking grants, analyzing data, drafting reports, and improving administrative workflows. Additionally, you will help translate grant data into well-thought-out promotional materials, edit and summarize grant recipient testimonials, and create surveys to collect additional data from recipients.

The ideal candidate will be proficient with databases, possess strong attention to detail, and have excellent writing and communication skills. Familiarity with AI tools to assist in daily tasks—such as automating data processing, generating summaries, and optimizing workflows—is a plus.

Responsibilities
  • Maintain and update grant data using databases, ensuring accuracy and timeliness.
  • Assist with reporting, tracking grant applications, and disbursements.
  • Use AI tools to help automate routine tasks, generate summaries, and improve efficiency.
  • Draft, edit, and proofread grant-related documents, reports, and communications.
  • Edit testimonials and provide concise summaries of grant recipient applications.
  • Liaise with the communications team to translate data into well-thought-out promotional materials.
  • Create and distribute surveys to grant recipients to collect additional data and insights.
  • Support process improvements and automation efforts to streamline administrative tasks.
  • Analyze financial data and generate reports to aid leadership in decision-making.
  • Conduct compliance checks for grants to ensure adherence to funding requirements.
  • Collaborate with the finance and grant management teams to support various administrative functions.
  • Provide insights and suggestions for improving workflows and operational efficiency.
Qualifications
  • Proficiency in databases, including data entry, management, and reporting.
  • Strong writing, editing, and communication skills.
  • Experience drafting and editing testimonials, reports, and promotional materials.
  • Familiarity with AI tools for automation, summarization, and workflow improvements is a plus.
  • Excellent organizational skills, with the ability to manage multiple projects and meet deadlines.
  • Attention to detail and problem-solving skills.
  • Previous experience in nonprofit operations is a plus.
  • Bachelor’s degree or equivalent experience preferred.

Compensation

  • Salary: $55,000 per year
  • Status: Exempt
  • Location: M-Th on-site at our Manhattan-based office, Friday remote; subject to change
