We are currently seeking a motivated, detail-oriented, and highly organized Office Manager to support our growing team. This position will involve working alongside our office manager and team members to optimize operations and ensure seamless communication with clients.
Key Responsibilities:
- Lead Scheduling: Coordinate client consultations, estimates, and meetings by managing schedules and appointments.
- Quote Assistance: Help prepare and distribute quotes to potential clients based on project details and pricing guidelines.
- Follow-Up Correspondence: Send timely follow-up emails to clients and prospects, ensuring they have all the necessary information and encouraging engagement.
- CRM Updates: Keep the CRM system current by entering new lead data, quotes, and communication logs.
- Client Interaction: Provide excellent customer service by answering calls and emails, addressing inquiries promptly.
- Project Monitoring: Support tracking of ongoing projects and ensure deadlines are met for quotes, meetings, and follow-ups.
- Google Listing Management: Regularly update the company’s Google Business Profile with photos, reviews, and other relevant content to boost online visibility.
Qualifications:
- Office administration, customer service, or a similar role (experience in the construction industry is a plus).
- Strong communication skills, able to relay information in a clear and professional manner.
- Proficient in Google Workspace (Google Calendar, Gmail, Google Docs, Google Sheets, etc.).
- Basic understanding of social media and Google Business Profile management.
- A positive, professional attitude with a customer-focused approach.
- Excellent time-management and scheduling abilities.
- Experience with CRM software or project management tools is beneficial.
