Summary
The Assistant Property Manager position helps lead the strategic management of commercial real estate in accordance with all tenant leases and management agreements. The Assistant Property Manager has strong client service skills, acting as the liaison among tenants, vendors, and building owners.
The Assistant Property Manager is involved in all aspects of day-to-day operations of the property, including accounts receivables for tenants, accounts payables for vendors, tenant relations, maintenance and repair, security, janitorial services, landscaping, snow removal, and other industry trades. The Assistant Property Manager ultimately resolves tenant concerns, oversees service requests, and is readily familiar with the terms of tenant leases. The Assistant Property Manager leads the preparation of the annual budget, annual operating expense (CAM) reconciliation, reporting, and financial performance of the property.
Essential Functions
- Provides excellent tenant service. Responds to tenant requests/problems in a timely and courteous manner and oversees work orders directed to vendors or maintenance staff in partnership with other staff. Follows up with tenants to ensure satisfactory resolution of issues. Ensures that there is 24-hour emergency coverage for the property at all times.
- Conducts periodic inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property per all agreements and regulatory authorities.
- Ensures that property and lease files are properly maintained and kept up to date in accordance with company policy. Leads support staff in the preparation and maintenance of appropriate tenant lease files, records, correspondence and file notes.
- Oversees administration of tenant occupancy including provision of introduction letters regarding emergency contacts, insurance requirements, rent collection procedures, and maintenance request procedures.
- Validates entry of all property information into the software program and establishes reporting protocols for maintenance requests, preventative maintenance, vendor and tenant Certificates of Insurance and key lease date tracking. Monitors all key dates and reporting within the system.
- Supports Property/General Manager and Director of Property Management in development and execution of area plan, preventative maintenance, policies and procedures and property operations/tenant manual, and all other departmental content. Leads vetting and selection of vendors, negotiates contracts, and manages the RFP process for all applicable services to the property.
- Leads the development of the property budget and is ultimately responsible for its content, presentation and implementation.
- Approves each purchase made for the property, minimizing expenses through cost effective purchasing techniques and inventory control. Purchases and contracted services will be analyzed to ensure compliance with the established budget and accurate expense coding.
- Ensures that multiple bids and vendors are solicited, and the best possible price negotiated.
- Confirms the receipt and quality of all goods and services before coding and approving the corresponding invoices for payment.
- Provides periodic budget variance analysis, general ledger review, assists in CAM reconciliation strategies, and enhances overall recovery.
- Partners with Building Engineer to promulgate sustainable energy management practices and capital improvements, seeks funding and partnership resources.
- Responds to and reports emergencies as needed; assists in resolution as appropriate.
- Observes, enforces, and guides the policies, procedures, and safety guidelines of the property.
- Additional tasks as assigned.
Supervisory Responsibility
This position may supervise the Building Engineer, Property Administrator, and/or Tenant Services Coordinator and reports to the Property/General Manager.
Position Type/Expected Hours of Work
This is a full-time, salaried position. Days and hours of work are generally Monday through Friday during normal business operations, with on-call duties outside of normal office hours. This position requires in-person/office attendance (flexible arrangements may be considered).
Travel
This position requires regular travel to and from the corporate office, and occasional travel to other properties in which the company holds interest. Additional travel is required for occasional corporate networking/education opportunities.
Required Qualifications
- Bachelor's degree in business or related field
- CPM, RPA, CCIM professional designation or candidacy preferred
- 3 years progressively responsible commercial property management experience
- Demonstrated record of achievement in complex real estate settings
- Strong interpersonal, communication and organizational skills
- Ability to simultaneously manage multiple projects
- Advanced computer software proficiency (RealPage, MRI, Yardi, MS Office, AVID, Argus, etc.)

Pay: $63,000.00 - $75,000.00 per year
