Job Title: Litigation Legal Secretary/Assistant
Job Summary: My law firm client in Garden City is seeking a highly organized and detail-oriented Litigation Legal Secretary to join their legal team. The ideal candidate will provide administrative support to attorneys handling litigation cases, ensuring that all legal documents and procedures are managed efficiently. The position requires strong communication skills, proficiency with legal software, and an understanding of the litigation process.
Key Responsibilities:
Document Preparation and Management:
- Draft, proofread, and file legal documents including pleadings, motions, subpoenas, discovery requests, and other legal correspondence.
- Prepare and organize case files, exhibits, and supporting materials.
- Ensure that all documents are accurately filed and comply with court rules and deadlines.
Court Filings:
- File legal documents with courts, including e-filing and physical submissions.
- Coordinate and manage deadlines for filings, motions, and hearings.
- Maintain knowledge of local court rules and filing procedures to ensure compliance.
Calendar Management:
- Schedule and coordinate meetings, depositions, hearings, and trials.
- Manage attorneys' calendars to ensure deadlines and appointments are met.
- Monitor and track litigation deadlines, ensuring timely submission of documents and responses.
Client Communication:
- Act as a liaison between clients, opposing counsel, and experts, maintaining professional and timely communication.
- Prepare client correspondence and keep clients informed about the status of their cases.
- Handle confidential information with discretion and professionalism.
Trial Preparation and Support:
- Assist attorneys with trial preparation, including organizing exhibits, preparing trial notebooks, and coordinating witness appearances.
- Attend trials and depositions to provide in-court support as needed.
Administrative Support:
- Handle phone calls, take messages, and communicate with clients and external parties as required.
- Assist with billing and time tracking for attorneys.
- Maintain office files and records in an organized manner, ensuring that documents are easily accessible.
Qualifications:
- Education: High school diploma or equivalent required. Associate's degree or paralegal certification preferred.
- Experience: Minimum of 3 years of experience as a legal secretary, with at least 2 years of experience in litigation.
- Skills:
- Strong knowledge of litigation procedures and legal terminology.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and legal case management software (e.g., Clio, LexisNexis, or similar tools).
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to handle sensitive and confidential information.
- Capability to work well under pressure and meet tight deadlines.
Preferred Qualifications:
- Experience with trial preparation and support.
- Familiarity with e-filing and court filing systems.
- Knowledge of legal research tools (LexisNexis, Westlaw, etc.) a plus.
Working Conditions:
- Full-time, with occasional overtime required, especially during trial preparation periods.
- 5 days in office
Compensation:
- $70,000 - $90,000
