Must have
- Associate's degree in business, public administration, or related field with 3 years of relevant experience
- Proficiency in Microsoft Office Suite and other business software
- Strong knowledge of program management processes, grant preparation, and policy interpretation
- Experience with data management and reporting systems preferred
Essential Functions
- Process and file invoices, ensuring timely payments and accurate reconciliation of credit card statements.
- Send invoices to the accounting firm for payment and track their status to ensure proper processing.
- Reconcile credit card invoices with monthly statements to ensure accuracy and resolve discrepancies.
- Track and manage grant agreements, ensuring compliance and proper documentation.
- Coordinate with the county to obtain tax amounts necessary for payment calculations.
- Organize and maintain agreement documentation to ensure easy access and proper filing.
- Monitor and track bond payments, ensuring accurate billing and timely payments.
- Oversee the bond payment billing process, ensuring accuracy and timeliness.
- Manage executive scheduling, including organizing travel accommodations and handling various administrative tasks such as organizing meetings, correspondence, and presentations.
- Coordinate and organize staff meetings, including Monday meetings, ensuring agendas, materials, and logistics are prepared in advance.
A Typical Day
As the Management Assistant, a newly-formed role at the EDA, your day will be varied, supporting both operational and programmatic functions of the agency. You’ll manage financial tasks and will play a key role in tracking grant agreements. You’ll also organize and maintain bond payments. Your administrative responsibilities will center around assisting management with daily tasks and potentially long-term projects. You will ensure the EDA’s finances stay organized and the agency’s operational logistics are handled efficiently. Throughout the day, you'll balance these financial and administrative tasks, maintaining strong communication with team members and stakeholders. Flexibility is essential, as your duties may evolve based on the team’s needs, but your organizational skills will keep operations running smoothly.

Pay: $52,486.00 - $60,413.00 per year
