Our client is seeking a highly motivated and experienced Training Support Specialist to join their dynamic team. This position requires leadership and initiative in managing administrative personnel to ensure efficient completion of responsibilities. The ideal candidate will have a broad range of experience and operate with a significant amount of independence in day-to-day tasks. This role includes overseeing the development of detailed program performance plans, including work scope, schedules, manpower, material plans, task codes, spending plans, and reporting requirements.
As a Training Support Specialist, you will be responsible for conducting performance measurement tasks, including cost, schedule, manpower, and material progress measurement, and analyzing variances to recommend and implement corrective actions. You will prepare status reports and program reviews for management and customers, and may participate in customer reviews as needed.
Additionally, you will oversee the review of proposals, plan and control proposal tasks, and assist in negotiating and executing bid-no-bid decisions, audits, and fact-finding activities. This role also includes managing and utilizing Management Information Systems (MIS), as well as training lower-level personnel in appropriate systems for program planning, control, reporting, and proposals.
Key Responsibilities:
- Lead and assist administrative personnel to efficiently complete assigned tasks with minimal supervision.
- Develop and manage extensive program performance plans (work scope, schedules, manpower, material plans, task codes, spending plan, reporting requirements).
- Measure and track program performance, analyze variances from plan, and recommend corrective actions.
- Prepare and present program reviews, status reports, and analysis for management, program personnel, and customers.
- Support proposal tasks, schedules, expenditures, and estimate resources needed (manpower, material).
- Maintain program cost history and provide market/product analysis in support of new business initiatives.
- Develop and monitor departmental labor and expense budgets and follow through with corrective actions as needed.
- Contribute to the improvement and modification of MIS to meet program needs.
- Participate in policy development, budgeting, and resource planning and accountability.
- Perform additional duties as required.
Skills Required:
- Experience in supporting training functions in a hybrid role.
- Expertise in Coupa and Concur is essential.
- Familiarity with Learning Management Systems (LMS) and SharePoint development is a plus.
- Prior experience in a training environment is preferred.
- Ability to work independently and make decisions with discretion and sound judgment.
- Exceptional interpersonal skills for effective collaboration and negotiation with company personnel, customers, and suppliers.
- Proficiency in using computer systems to generate reports and documents.
- Strong problem-solving skills with the ability to design and implement processes and systems within budget and timelines.
Experience Required:
- Minimum of 5 years in a support role within an enterprise environment.
Experience Preferred:
- Prior experience working in a training environment.
Education Required:
- 2-4 year degree preferred.
