What are the responsibilities and job description for the Executive Assistant position at Heraeus?
As the Executive Assistant, you will play a critical role at Heraeus Covantics. The Executive Assistant’s role is to serve as the right hand to the GM and Head of Business Line for Ceramic which will include (1) supporting their calendar and protecting their time, (2) supporting the wider team on initiatives and events, and (3) special projects as needed. Along with these broader tasks, the Executive Assistant will also support scheduling, phone calls, travel, and expenses. The ideal candidate will be thoughtful, proactive, curious and detail-oriented.
Duties/Responsibilities
· Act as a liaison between the GM, Head of Business Line, and external partners while managing the flow of information across multiple communication platforms.
· Manage the calendars of the GM and Head of Business Line, schedule regional and global meetings, arrange domestic and international travel.
· Oversee office management responsibilities, including maintaining a well-organized office environment and managing supplies, and greet on-site guests.
· Research, develop, and create complex and confidential reports, presentations, and communications on various topics and site initiatives.
· Plan, coordinate, and facilitate strategic-level senior leadership meetings, professional development sessions, and events.
· Ensure streamlined operations across the Senior Leadership Team in Chandler, AZ, while developing processes to enhance teamwork.
· Analyze data, investigate areas of interest for the GM and Head of Business Line, and provide evidence-based recommendations for action.
· Represent and support the GM in meetings, committees, and workgroups while coordinating agendas and creating minutes for assigned meetings.
Required Skills/Abilities:
· You have a bachelor's degree and a minimum 5 years of executive-level administrative experience in the global semiconductor, technology, or adjacent industries. The equivalent combination of education and experience will be considered.
· You are proficient with the latest Microsoft cloud-based collaboration tools (OneDrive, SharePoint, Teams, etc.).
· You have excellent verbal and written communication skills and can comfortably and thoughtfully communicate with people at all seniority levels – both within the company and externally.
· You are highly organized, detail-oriented, reliable, and don’t drop the ball. Nothing gets past you!
· You are comfortable multi-tasking across multiple high-profile priorities. You are cool under pressure and good at prioritizing more important tasks over others.
· You have strong interpersonal skills, high EQ, and are both trustworthy and discreet.
· You are a proactive self-starter and resourceful problem solver with a “get it done” attitude.

Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to access and navigate each department at the Chandler, AZ facility.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write business correspondence. Ability to effectively present information and respond to questions. Ability to effectively communicate (orally and in writing) with all levels within the organization. Excellent interpersonal skills required. Bilingual – Spanish is highly preferred.
Mathematical Skills
Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their applications. The ability to choose the right mathematical methods or formulas to solve a problem.
Computer Skills
To perform this job successfully, an individual should have knowledge of: MS Office, Excel software, ADP; SAP and a level of ability to quickly learn new and changes to existing programs.
Reasoning Ability
Ability to apply common sense towards the execution of responsibilities. The ability to apply general rules to specific problems to produce answers that make sense. Must be able to prioritize multiple tasks. Ability to work with a minimum of supervision; must be a self-starter.
Physical Demands
While performing the duties of this position, the employee is regularly required to reach with hands and arms and talk and hear. The employee is frequently required to walk, sit and use hands to finger, handle or feel. The employee is occasionally required to stand, stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 20 pounds.
Work Environment
While performing the duties of this position, the employee is occasionally exposed to moving mechanical parts as well as hazardous materials/chemicals. The noise level in the office environment is usually quiet to moderate. This person will be required as needed to wear Specialized Protective or Safety Equipment. While performing the duties of this position, the incumbent may be in contact with potentially hazardous materials.
