Job Summary:

As the Herb Procurement Manager at Herb Pharm, you will be the driving force behind sourcing and buying the finest herbs and botanicals in the industry. This vital role will have you building and maintaining lasting relationships with key industry partners—growers, collectors, and suppliers—while overseeing the global botanical supply chain. You will spearhead efforts to ensure compliance, mitigate trade risks, and identify exciting new market opportunities. Your focus on sustainable practices and ethical sourcing will help maintain Herb Pharm's competitive edge in an ever-evolving market. Requirements:

Key Responsibilities

  • Ensures smooth production of herbal extracts by planning herbal raw material needs, identifying quality vendors and supporting the negotiation of terms. Uses planning tools effectively
  • Ensures long-term availability of high-quality raw material by, developing and maintaining good business relationships with key suppliers
  • Negotiates pricing and supply agreements for short- and long-term purchases
  • Works closely with farmers, brokers, and wildcrafters, identifying problems, and explaining issues related to ingredients to ensure sustainability and improve quality of their deliveries
  • Continuously seeks to develop new suppliers by, sourcing suppliers for current and future products, as required for R & D projects
  • Maintains current supplier relationships and coordinates effectively with other departments to make major supplier changes
  • Continuously seeks to develop new relationships by identifying suppliers for current and future products, and as required for R&D projects
  • Develops and edits purchasing SOPs that meet or exceed FDA requirements for product integrity, organic certification, and other issues
  • Ensures timely and accurate information is transmitted to management by, and reporting unusual situations as needed for management decision making
  • Participates appropriately and regularly in meetings and other team settings as requested
  • Provides reports to management proactive and when asked that exhibit high quality written communication and presentation skills
  • Works closely with the Quality Team to identify vendors and assist with obtaining documentation for the Vendor Qualification program and specific ingredients
  • Communicates standards to each vendor, provides vendor specifications, answers questions and resolves problems
  • Participates in periodic vendor audits as determined by the vendor audit program
  • Monitor Vendor Qualification and Sample Trackers for vendor and sample approval status and input the appropriate information as required
  • Ensures that Herb Pharm is practicing earth-friendly purchasing policies by tracking the status of rare or protected plant species purchased and monitors the status of wild herbs that are being cultivated
  • Works closely with Farm leadership to develop and maintain the annual Farm Plan
  • Provides annual needs to Farm leadership in a timely and accurate manner

Qualifications & Skills

  • Strong negotiation, conflict resolution, and collaboration skills
  • Strong selling, influencing, and persuasion skills
  • Ability to build and maintain long-term relationships
  • Ability to create plans, reports and analyses that drive business decisions and actions
  • Ability to prioritize tasks, manage schedules, and meet deadlines in a dynamic environment
  • Knowledge of and interest in herbs, botanicals, spices and fungi species
  • Experience with botanical, natural products, consumer packaged goods industries
  • Existing knowledge and personal experience with customer and supplier networks in the botanical industry
  • Experience using ERP systems for Forecast-to-Produce, Procure-to-Pay, and Order-to-Cash business processes
  • Ability to carry out detailed oral or written instructions
  • Ability to work in a team environment without close supervision
  • Participates in all team meetings, sharing ideas on continuous process improvement with the supervisor and team members

Education and Experience:

  • Bachelor’s degree in Business Administration, or related field
  • At least 5 years of experience in Business, Economics, Supply Chain Management, or a similar role, or an equivalent combination of education and experience

Work Environment: The position requires extended periods of time spent working on a computer, including the use of various software and digital platforms. The individual must be comfortable working in a fast-paced office environment, where attention to detail and focus on tasks is essential. While some flexibility may be offered, the role typically involves regular office hours with occasional extended hours or remote work, depending on project needs. The candidate should be prepared for periods of sitting and prolonged screen time.

Travel Requirements: The role may involve up to 20% travel, depending on business requirements.
