What are the responsibilities and job description for the Event Assistant/Event Lead position at Heritage Tavern?
Heritage Catering is looking for an organized Event Assistant to contribute in daily event planning operations and to support our team on-site at events! Heritage Catering has a long track record in Madison and has the privilege of holding the premier caterer contract for Concerts on the Square. In addition, we service many corporate and private events throughout the year, each offering unique and new excitement!
The Event Assistant will work closely with the FOH & BOH teams to participate in the logistical planning, preparation, and execution of catering events. This role will support daily catering operations, work closely with vendors for proper inventory and ordering of equipment, maintain organization, and follow catering protocols and procedures, while offering solutions for enhanced processing. In addition, the Event Assistant will be responsible for assisting and leading operations during events to ensure proper execution.
JOB DUTIES:
General Operations:
- Assists with daily FOH catering operations
- Manages inventory of catering supplies and equipment, ordering as necessary
- Utilizes catering program database
- Communicates with customers via email, phone, and in person
- Communicates with vendors and distributors for proper ordering for supplies and beverage product
- Provides service for retail customers
- Additional tasks as assigned
Event Planning & Marketing:
- Creates materials for service (menus, menu cards, signage, plate builds)
- Works with internal team to plan and execute marketing campaigns
- Creates marketing email blasts
- Posts on Heritage social media pages (Facebook, Instagram)
- Participates in weekly event meetings as a critical attendee during final event planning stages
- Creates Pack Lists for upcoming events
- Assist sales efforts with phone calls and customer relationship building
Event Execution:
- Operates catering vehicles (CDL not required) as necessary
- Sets up event operations for food & beverage service including temporary kitchen sets, pipe and drape, food stations, etc.
- Trains to work on-site at events as an Event Lead, Event Support, Bartender, and/or Server
- Executes pick-up and drop-off services
- Performs post-event organizational tasks
PREFERRED SKILLS & EXPERIENCE:
- 2 years customer service
- Previous event coordinating and/or hospitality experience
- Strong organization, time management, problem solving, and attention to detail
- Works collaboratively with the team and independently with minor direction
- Ability to stand on feet for 8 hours on event days
- Ability to lift up to 50 lbs.
- Valid Driver’s License required for operation of company vehicles
- Computer skills: Google Suite (Gmail, Sheet, Doc, Drive), Total Party Planner CRM database, POS systems (Toast, Ecwid, Barn-to-Door), MailChimp, social media platforms (Facebook, Instagram)

Schedule:
- January-April: Part-time, ~20 hours per week
- May-October: Full-time, 30-40 hours per week
- November-December: Part-time, ~30 hours per week
- Additional hours possible
- Flexible daytime office schedule, with some nights and weekends required on event days
Work Location:
- Home base in Fitchburg, WI
- Event-based work throughout the Madison area.

Heritage Catering, based in Fitchburg, WI, has been providing upscale catering services to both private and corporate customers in and around the Madison area since 2012, and are honored to have been the Premier Caterer for Concerts on the Square for many years. Our team is growing and we are excited to welcome new members to execute successful events for our clients.
Heritage Tavern is an independent restaurant that is family owned and operated and located in the heart of downtown Madison, WI. We offer a sophisticated atmosphere with fine dining service and a fun craft cocktail bar. We have been successfully operating since 2013 with a rotating menu with fresh, farm-to-table influences and old world classics. We work with local ingredients from farmers in Dane county and high quality meats from our own animals and meat processing facility.
Fox Heritage Farms/Willow Creek is our meat processing facility and home office, located in Prairie du Sac. We have a central office at this location and operate a small meat market for the public. In partnership with small WI family farms, we breed and raise our Berkshire hogs on open pasture, without antibiotics or hormones. All products we sell are produced by our local team and out of our own meat processing facility. We sell products both wholesale and retail.
