Serving our clients:
Assume existing client relationships from other advisors and serve as the main point of
contact for all segments except Family Office. For Family Office clients, serve as the
supporting advisor.
Promptly resolve client requests as the “first line of response" by either addressing them
independently or delegating and monitoring them until completion.
Proactively engage with clients to establish regular meeting and communication
schedules.
Attend and actively participate in client meetings. Ensure thorough documentation of all
client interactions in Heritage's CRM system. The role in each forum is dependent on
the client segment.
Collaborate with the operations team to ensure smooth client onboarding and
paperwork processes.
Provide comprehensive financial services, including detailed financial planning, tax
preparation, and investment management.
Regularly review clients' estate plans and work with external estate attorneys as needed,
ensuring alignment with documented plans.
Engage with the client's other professional team members (attorneys, CPAs, operating
business management, boards, etc.) regularly.
Act on behalf of the client when interacting with external third parties (e.g., IRS, Social
Security, Commissioner) as required.
Reconcile and maintain client bookkeeping, if applicable, and deliver regular reporting
packages.
Calculate and maintain trust distribution schedules.
Prepare annual Crummey notices for clients’ ILITs and work with beneficiaries to receive
applicable signatures.
Monitor payment schedules to/from outstanding loan notes (external or intrafamily).
Prepare a wide range of tax forms (W-2s, 1099s) and tax returns (the 1040s, 1041s,
1065s, 990s, 709s, etc.)—the expectation is to prepare, not sign.
Regularly review clients' tax payments, adjusting tax projections as necessary.
Utilize Tamarac Advisor View and E-Money to maintain up-to-date balance sheets and
cash flow projections for clients.
Act as a liaison between clients and other advisors or departments (e.g., philanthropy,
IA, etc.).
Demonstrate commitment to clients by attending events and staying informed about
their interests or causes they hold close).
Apprenticeship and oversight:
Elevate internal or client-facing issues immediately to the Engagement Partner and
Director of Client Services.
Apprentice with Engagement Partners to observe and learn from those with vast
industry experience and historical client knowledge.
Collaborate closely with the Engagement Partner to ensure a two-way transfer of
information and a focus on outstanding client service.
Train, educate, and supervise associates to ensure understanding of client situations,
product offerings, software, and process and procedures.
Exhibit a commitment to knowledge sharing through learning opportunities and
collaboration, specifically regarding the UHNW space.
Serve on Heritage task forces to improve the firm's overall efficiency, function, and
growth.
Engage with the community:
Network with other professionals.
Attend firm and community events.
Join professional organizations.
Proactively seek speaking engagements.
Identify opportunities for new Heritage clients.
Serve as an ambassador of Heritage in the local community by professionally
