Manager – Distribution Center Operations

HF Foods aims to supply the increasing demand for Asian American restaurant cuisine, leveraging its nationwide network of distribution centers and its strong relations with growers and suppliers of fresh, high-quality specialty restaurant food products and supplies in the US, South America, and China.

PRIMARY FUNCTIONS:

1. Overseeing Packaging Efficiency, Quality Control, and Inventory Management

  • Function: Ensures that the packaging process runs smoothly, and that product quality meets customer and regulatory standards.

Key Activities:

  • Managing the packaging line to minimize downtime, maintain product quality, and optimize resource use.
  • Conducting quality control checks to ensure proper fill levels, accurate labeling, and package integrity.
  • Monitoring inventory of packaging materials, oils, and other supplies to prevent stockouts and maintain consistent production flow.
  • Maintains high packaging standards, reduces waste, and ensures that products are available for timely distribution.

2. Coordinating Distribution Logistics and Order Fulfillment

  • Function: Manages the distribution process to ensure that orders are accurately fulfilled and delivered on schedule. He/She is responsible for the proper receipt, warehousing, and inventory control of raw materials and finished goods. This position oversees daily sales order picking, packing, and distribution activity. Monitor processes and procedures for areas of continuous improvement and an optimally efficient running DC Operations.

Key Activities:

  • Scheduling deliveries, coordinating with transportation providers, and managing logistics to optimize distribution routes and costs.
  • Overseeing order accuracy and packaging for distribution, ensuring correct quantities, labeling, and documentation for each shipment.
  • Tracking shipment statuses and addressing any delays or issues to ensure customer satisfaction.
  • Ensures timely and accurate delivery, builds customer trust, and optimizes logistics to control costs.
  • Managing stock levels, overseeing product flow (receiving, storing, and shipping), conducting regular inventory audits, and ensuring accurate record-keeping.

3. Ensuring Quality, Compliance and Safety in Packaging and Distribution Processes

  • Function: Sets and reinforces high standards in quality control and regulatory compliance to protect both customers and the business.

Key Activities:

  • Developing and enforcing safety protocols in handling, packaging, and storage of oils to ensure employee and product safety.
  • Ensuring that both packaging and distribution meet health, safety, and industry-specific regulatory requirements (e.g., food safety standards if handling edible oils).
  • Managing documentation for audits and regulatory reviews to ensure transparency and compliance.
  • Reduces safety risks, ensures regulatory compliance, and protects both employees and products, supporting business continuity and reducing liability.
  • Modeling strict adherence to quality standards and regulatory requirements, leading by example in setting an uncompromising approach to product safety and consistency.
  • Implementing clear standard operating procedures (SOPs) for packaging, handling, and shipping, with regular audits and reviews to ensure compliance.
  • Cultivating a mindset of continuous improvement, encouraging employees to contribute ideas on refining quality and efficiency.
  • Instills a strong focus on quality and compliance, reducing risks of non-compliance, maintaining customer trust, and improving overall product reliability.

4. Team Building, Leadership, Development and Empowerment

  • Function Hiring, training, and supervising DC Operations employees, creating shift schedules, and delegating tasks. Ensuring staff adhere to safety protocols and DC Operations policies.
  • Builds and leads a skilled and motivated team, providing training and fostering a collaborative environment.

Key Activities:

  • Directly supervises the DC Operations teams (Packaging Operations, Receiving, Inventory management, Shipping and Transportation teams); collaborates to deliver to a high level of customer satisfaction.
  • Conducting training sessions on best practices in packaging, distribution, and safety, ensuring team members are cross trained for operational flexibility.
  • Empowering employees by delegating responsibilities and encouraging ownership of their roles, which helps develop problem-solving skills and accountability.
  • Providing feedback and recognizing achievements, promoting a positive work environment and high morale.
  • Build a cohesive, engaged team capable of adapting to shifting demands, reducing turnover, and enhancing productivity.
  • Tracking key performance indicators (KPIs) (SQDCP) - Safety, Quality, Delivery Cost & Productivity, Order fulfillment rates, and accuracy in inventory management. Generating reports for senior management on DC Operations performance.

5. Strategic Planning and Decision-Making

  • Function: Guides the team toward meeting long-term operational and business goals through proactive planning and sound decision-making.

Key Activities:

  • Setting short- and long-term goals for production, inventory, and distribution based on market demands and organizational objectives.
  • Analyzing operational metrics to identify areas for improvement and making informed decisions to optimize production schedules, minimize costs, and enhance service levels.
  • Developing contingency plans to handle supply chain disruptions, equipment issues, or unexpected increases in demand, ensuring resilience in operations.
  • Impact: Provides direction and stability, enables efficient resource management, and aligns operations with the company’s growth objectives, creating a strong foundation for sustainable success.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

People

  • Establish and ensure that all supervisors and associates are trained and competent and understand how their work relates to the customers' business objectives.
  • Establish and sustain that we recruit, hire, train, develop and retain quality associates.
  • Establish and sustain effective, two-way communication that informs and motivates as well as recognizes excellence among team members.
  • Establish and sustain strong and effective relationships with associates, the customer, and supporting departments.

Operations

  • Meet or exceed all customer key performance metrics and objectives.
  • Interact daily with local customers to ensure existing and emerging customer needs are understood.
  • Lead team to identify operational improvements in areas such as route optimization, carrier selection, backhauls, and trailer loading.
  • Collaborate with other HFFG sites to share best practices, leverage resources/assets, etc.

Finance

  • Develop and execute annual financial and operating plans.
  • Lead the operation with integrity to meet or exceed the Business Plan targets.
  • Identify issues with the operating metrics and P&L and make required adjustments in a timely manner.
  • Ensure customer billings and associate payroll are prepared timely and accurately, the payables and intercompany charges are valid and correct, and all other activities are accurately reflected in the P&L.

Safety

  • Lead a culture of safety through personal example.
  • Develop, execute, and assess continuous improvement plan to reduce accident and injury frequency.
  • Ensure each associate understands their individual role and responsibilities, as well as the group's role and responsibilities required to achieve and maintain a safe work place.
  • Proactively identify and correct unsafe conditions, work processes, and behaviors
  • Ensure compliance with all applicable regulatory agencies, company policies and procedures.
  • Coach through safety observations.

Growth/Customer Experience

  • Identify opportunities for continuous improvement and challenge the status quo.
  • Execute a process to track and record value delivered to the customer.
  • Identify and seize profitable business opportunities for the customer and HFFG.
  • Utilize available metrics to monitor and maximize customer efficiencies and achieve cost savings.

Fleet/Assets

  • Lead effort to improve fleet/equipment utilization, maintenance availability and fuel efficiency.
  • Contribute to equipment specification at time of start-up and renewal.
  • Build a strong working relationship with local OSHA and DOT agencies
  • Other projects and tasks as assigned by supervisor.

SKILLS AND QUALIFICATIONS:

  • 10 years of experience in Distribution and/or Operations management with leadership responsibilities.
  • Project management experience in one of the following: Lean Six Sigma, 5s, or other project management experience
  • Experience with SAP, WMS, and TMS systems or similar ERP systems is an advantage.
  • Experience in End-to-End global supply chain / effectively manage global supply chain activities that involve suppliers, plans, distributors, and customers located around the world.

EDUCATION AND/OR TRAINING:

  • Bachelors/Master’s Degree in appropriate discipline – essential
  • MBA – preferred
  • Additional languages – Spanish is a plus

MOST CRITICAL SKILLS: Functional/Technical skills

  • Proficiency with computers including Microsoft Outlook, Word, Excel, Access, PowerPoint required.
  • Must have ability to connect and build rapport and relationships with associates and external customers at all levels.
  • Must have ability to work efficiently with time management and organizational skills with follow-up and follow through.
  • Ability to manage through a problem and think and make decisions independently.
  • Demonstrated ability to develop and execute annual financial operating plan.
  • Ability to drive process improvement and lead change.
  • Must demonstrate ownership & responsibility for running the operation with a sense of urgency.
  • Strong written/oral communication including the ability to present in front of others and demonstrate active listening skills are required.
  • Regular, predictable, full attendance is an essential function of the job.
  • Willingness to travel as necessary, work the required schedule, work at the specific location required, complete HFFG employment application, submit to a background investigation (to include past employment, education, and criminal history) and drug screening required.
