The Hennepin Healthcare Research Institute (HHRI) has a new opportunity for a Program Manager with exceptional organizational and communication skills to support the Addiction Medicine research being conducted by Gavin Bart, MD, PhD at Hennepin Healthcare and within the Northstar Node. This is a .75 - 1.0 FTE position with salary DOQ, which will be prorated based on FTE.
This is a hybrid position desiring a consistent onsite presence in downtown Minneapolis, MN.
POSITION SUMMARY:
The Northstar Node is an integral part of the National Drug Abuse Treatment Clinical Trials Network, dedicated to transforming the landscape of addiction treatment through groundbreaking research and clinical trials. At the core of our mission is the commitment to advancing the understanding and management of substance use disorders. Our team, led by distinguished experts in the field of addiction medicine, including Dr. Gavin Bart, MD, PhD, collaborates with a network of clinicians, researchers, healthcare professionals and community partners. Together, we work towards integrating the latest scientific findings into practical, effective treatment strategies that address the complexities of addiction.
This position partners with the Principal Investigator and with administrators and other managers as appropriate within the Northstar Node. Responsibilities include overall program leadership and accountability for efficient and effective research flow, the satisfaction of all stakeholders (patients, physicians, employees), budgeting and long-term planning.
ESSENTIAL FUNCTIONS:
- Works with the Principal Investigator and other administrative staff in setting and implementing the strategic plan for the program. This will include the development of short term (0-3 months) and long term (1 year and 5 year) goals.
- Prepares professional, succinct and financially justifiable proposals as required for staff and program.
- Participates in the pursuit of grant funding.
- Facilitates the development of promotional materials and presentations.
- Participates in the development of annual program budgets and reviews plans with established budgets on a monthly basis.
- Develops and manages the budget. Ensures capital, salary, non-salary expense budgets correlate with program needs.
- Develops format for tracking utilization of services.
- Develops organized reports.
- Prepares reports for funders, as outlined in contractual agreements.
- Provides support for program staff in resolving problems, planning new services and addressing issues so that they can effectively conduct research initiatives.
- Works with program staff to improve service quality through the promotion of practice efficiency and effectiveness.
- Determines a need for and maintains an appropriately trained employee group to achieve program goals and objectives.
- Ensures high quality research consistent with sponsor and FDA requirements. Supervises and directs research, ensuring the quality and integrity of data.
- Builds a quality team of individuals in the program to meet participant & funding demands.
- Interview, hire, supervise, mentor, develop and evaluate department staff subject to HHRI human resources practices and policies.
- Acts as a team builder both within the program and with other practices and departments within the organization
- Cultivates an atmosphere of cooperation. Encourages staff to improve operations and solve problems.
- Implements changes in the program in conjunction with Principal Investigator to foster the following goals:
- An efficient program that is organized, well run and smooth. Evaluate and alter flow patterns as appropriate. Monitor program for improved use of equipment, space and staff.
- A growing area of research in terms of volume, programs, service and revenue; identification of new revenue streams as appropriate.
- Customer service: Develop and implement strategies to assess, improve and monitor customer satisfaction to ensure that subjects feel valued and subject retention efforts are improved.
- Cultivate a group of people who feel a passion for the area in which they work as exhibited by personal and professional growth.
- Maintains liaison with the Principal Investigator to implement and evaluate problems concerning physicians, patients or employee relations.
- Communicates and ensures compliance with policies and procedures, including maintaining an open relationship with the IRB, Research Education Group, and Human Resources.
- Maintains oversight of employees to ensure efficient program delivery.
- Maintains effective working relations through strong communication skills both up, down and across the organization including good working relationship with the Principal Investigator, administration, funders, community partners, and other staff as appropriate.
- Meets with the Principal Investigator frequently, at least 2 - 4 times per month or more. Fosters a team partnership with the Principal Investigator.
- Meets with total staff at least once monthly and sub-groups of staff at least monthly to accomplish the following:
- Disseminate information.
- Give employees an opportunity for input and problem solving.
- Focus on action items from each meeting.
- Follows-up with e-mail, department newsletter, postings of important information. Communicate to staff and other managers.
EMPLOYMENT STANDARDS:
Education/Experience:
Any combination of equivalent education and experience that provides the required knowledge and skills is qualifying. Typical qualifications are a Master's degree in business, healthcare administration, or public health and a minimum of 5 years of experience in healthcare research or related field. Previous experience managing staff and managing federal and non-federal contracts preferred as is experience working in Addiction Medicine.
