SUMMARY
The Coordinator, Merchandising is responsible for providing essential support to the merchandising team by managing administrative tasks and ensuring the smooth execution of merchandise operations. Detail-oriented, organized, and possesses strong communication skills. Identifies and interprets data to be entered into the system by compiling, sorting, and verifying the data. Prepares and issues purchase orders and change notices. Creates new styles and purchase orders for buyers. Creates & manages order entries and maintenance requests, and performs other administrative duties required. Ensures documents are prepared correctly and tasks are completed in a timely manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Coordinates the merchandising backend system ensuring products are accurately defined and tracked through data entry, correction and running necessary reports.
Identifies and interprets data to be entered into the system. Compiles, sorts, verifies, and enters data from source documents, correct any errors.
Responds to inquiries regarding entered data. Contacts preparers of source documents to resolve questions, inconsistencies, or missing data.
Keeps track of received data and source documents. Prepares and sorts source documents.
Use existing system tools (MMS, MicroStrategy) to validate data and troubleshoot discrepancies.
Participates in training to update buyers, maintains training documents and assists with on-boarding new hires. Assists with testing and implementing of new procedures.
Collaborates with buyers across the merchandise department, marketing, logistics, vendors, operations, warehouse, IT, and Ecommerce to ensure cohesive and efficient operations.
Supports supply chain within the organization.
Handles buyer inquiries related to merchandise, providing accurate and timely information.
Creates, revises and process purchase order numbers in the system. Maintains accurate and up-to-date records of purchase orders, including but not limited to: cost, company attributes, UPCs, dates, warehouse locations, bulk/pre-pack adjustments, etc.
Creates new styles for purchase orders. Updates and revises company style numbers for each product based on data given from the Merchandise department and attach UPCs. Performs maintenance on all style attributes, vendor part numbers, UPCs, etc.
Creates web IDs to field items on website. Utilizes macro systems and induction sheets. Runs Merchandising induction reports to ensure successful style & purchase order creation.
Works with EDI, logistics and warehouse management on shipping errors (mis-ships, PO updates, location change, date changes and etc.).
Creates documents on Microsoft Word or Excel.
Assists with some administrative tasks for the merchandising team as needed.
Protects the company's assets and financial information by ensuring the accuracy and effectiveness of internal control procedures and informing management and/or appropriate officials of potential fraud risk.
SUPERVISORY RESPONSIBILITIESNo Supervisory Responsibilities.
QUALIFICATIONSAssociate's degree in Business or related field preferred.
1 - 3 years of related experience.
Managing through systems, process management, time management skills needed.
Strong communication skills and attention to detail.
