JOB DESCRIPTION

TITLE: Program Administrative Assistant (Structured Day & Evening Programs)

REPORTS TO: Director of Day Services, Management Team, and /or CEO

EMPLOYMENT STATUS: Full time (37.5 hours) Non-Exempt

MAIN FUNCTION: Performs diversified support for the Director of Day Services. Assists in programmatic administrative tasks effectively and with attention to detail. Primary duties include but are not limited to managing reception duties, providing administrative support, purchasing, database management, and other duties, as assigned.

QUALIFICATIONS: Associate’s degree in business, secretarial science or related discipline; plus two years’ experience in a clerical position or the equivalent combination of experience and education deemed necessary to perform the core responsibilities of the role. Knowledge of traumatic and acquired brain injuries preferred.

DUTIES AND RESPONSIBILITIES:

-Must have proficiency in Microsoft Office (Word, Excel, etc.) & other basic computer skills. Must have strong communication skills and be proficient in English language, both written and verbal.

-Assists with filing, monitoring and organization of program files to meet agency standards and regulations and any NY State and Federal regulations.

-Assists with all necessary program filing. faxing, copying, shredding, sorting, purging, and scanning activities.

-Assists with developing and maintaining tracking databases through spreadsheets, word, and other software while developing a streamline process.

-Assists to prepare, review, update and correct program and agency related documentation.

-Contact outside parties, when necessary and applicable to job duties.

-Perform reception activities including but not limited to answering incoming telephone calls and forwarding calls to the appropriate individuals.

-Tracking, inventory, and ordering of agency and program supplies.

-Performs other duties upon the request of the Director of Day Services, Management Team, and/or CEO.

-Protects confidentiality as per Agency Policy and State and Federal guidelines.

-I understand that I will comply with all regulatory and agency requirements, policies and procedures which include but are not limited to the Personnel, Program and Compliance Policy Manuals, Federal, State and local mandates.

Additional Requirements:

An acceptable NY State Driver’s License

An acceptable Criminal Record check

Acceptable documentation of PPD test

Acceptable documentation of Health Status

Educational & Employment verifications

Proof of vaccination records as needed to perform job duties or meet regulatory requirement.

Completion of Hickok Center Orientation and Service Specific Training

Bloodborne Pathogens Certification

Flexible Schedule

PHYSICAL REQUIREMENTS:

The employee is required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Employee is required to frequently use and move housekeeping supplies weighing up to 20lbs and other adaptive equipment that may have variable weight such as wheelchairs, walkers, etc. Vision abilities required by this job include close vision.

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
