Job Summary:
Greets members and the public in a friendly and courteous manner. Assist members and guests with general questions. Manage F&B and event reservations and assist the Club membership with all requests or needs.
Essential Duties and Responsibilities:
- Maintains a professional manner and appearance and creates a warm, inviting, pleasant and environment for all members and guests.
- Welcomes on-site guests, determines nature of business, provides information and directions as required in a friendly, courteous manner. Announces guests to appropriate personnel. Monitors guest access of building entrances.
- Answers incoming telephone calls, determines purpose of callers, and transfers calls to appropriate team member or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Manages all reservations and event RSVP lists, live time updating into the appropriate reservation system.
- Manage the social media pages and in-house publications, events and promotions for the Club.
- Update the Club’s social media content calendar and take photos during events, etc.
- Utilize Canva or similar design software to create collateral pieces for all departments as needed.
- Assist the Membership Director with new member orientation and 30/60/90 day check-ins.
Additional Responsibilities:
- Distribution of birthday, anniversary, and specialized cards for members
- Designing menus for specific outside events
- Participates in select member events to assist the entire team and create a rapport with the membership.
Qualifications, Experience and Skill Requirements:
- A working knowledge of Microsoft Office software and the ability to learn software, databases and web applications is required.
- Responsible to receive, sort and route USPS mail, in house mail, packages and deliveries.
- Responsible to have a working knowledge of and operate the copier and fax machines and ensure machines are equipped with supplies.
- General typing is required. Responsible to type memos, letters, schedules, correspondence, reports and other documents as requested.
- Performs other duties as assigned.
Supervisory Duties: This job has no supervisory duties.
Working Conditions:
- The employee is regularly required to sit for long periods of time using a monitor and keyboard; use hands to finer, handle, or feel; and reach with hands and arms.
- This position will also require the employee to stand, walk, stoop, kneel or crouch to pick things up or move displays around.
- The employee must be able to lift and/or move up to 30lbs occasionally.
- Noise level is moderately quiet.
- Work extended hours during golf and holiday season.
- Work weekends and holidays as needed
