Office Coordinator / Administrative Assistant
Location : Wahiawa
Pay : $17 / hr
Mon-Fri 7 : 30AM-4 : 00PM
Purpose : To provide a standardized procedure for administrative tasks to ensure efficient office operations and support for restoration and reconstruction projects.
Responsibilities : Execute the steps outlined in this SOP and ensure compliance with company policies and standards.
Procedures : Answering Calls :
Answer incoming calls promptly and courteously.
Collect essential information from the customer, such as name, contact
information, and nature of the issue.
Transfer call to the designated individual or take a detailed message with contact
information.
Creating Job on Fusion (CRM) :
Ensure the customer’s address, phone number and email address are properly
documented.
Assign an Estimator, Coordinator, Supervisor and Foreman to the job.
Assign the job to a Division of Rainbow Restorations.
Describe the nature and location of the damage to the property.
Add the job to the Outlook calendar.
Mitigation Jobs :
Review the Customer Information and Job Information sections on Fusion are
complete.
Ensure that the Water Technician(s) have uploaded their notes and photos to
Fusion.
Email the Initial Response Report and monitor updates to the designated
personnel(s).
Ensure that the completion notes, photos and forms are uploaded to Fusion.
Follow-up on Completed Jobs :
Once a job is complete, call the customer to follow-up on the services provided.
Ask follow-up questions
Answer all questions and concerns.
Thank the customer for their time and for choosing Rainbow Restorations.
Email a summary of the conversation to the General Manager, Owner and Project
