Over almost 30 years, we have worked in the public works sector. More precisely in highway work. Our area of concentration includes sign lighting, freeway lighting, street lighting, traffic signals, ramp metering systems. Any electrical components that are related to that scope of work fall under our specialty. Our projects physical footprint spans from our Southern California offices throughout California to its Northern Border.
Job Title : Billing Assistant
Department : Accounts Receivable
Classification : Non-Exempt
Pay Range : $41,500.00 per year to $44,000.00 per year
Reports to : Accounts Receivable Team Lead
Job Summary :
The Billing Specialist is responsible for creating and submitting invoices and bills to our clients for services or work carried out on a contract or project. This includes ensuring the accuracy and efficiency of all invoices related to the activities performed. The role involves identifying, documenting, and calculating the costs of the work, processing invoices, updating customer account information, preparing reports, and resolving billing inquiries in a timely and transparent manner.
This position is crucial to maintaining the companys financial stability by ensuring revenues are collected promptly and effectively. It requires organizational skills, attention to detail, and excellent customer service to maintain productive and professional relationships with clients. The role also demands adaptability, cultural competence, and high ethical standards to collaborate effectively in diverse environments.
Duties & Responsibilities :
- Review and monitor daily company email correspondence.
- Maintain constant and effective communication with clients, including contractors and subcontractors.
- Inform Project Managers and other stakeholders of the billing status via email and team meetings.
- Process minimum 8 to 10 Time and Material invoices daily using Nice Touch software, ensuring accuracy in job billing.
- Manage accounts and balances, identifying and resolving billing discrepancies.
- Proactively follow up with owners and contractors to ensure timely receipt and payment of invoices.
- Maintain detailed and up-to-date records in the Viewpoint Vista accounting system to ensure accurate financial reporting.
- Generate periodic reports using Excel and / or Power BI to inform management of the Time and Material billing status.
- Conduct audits in Vista, Teams, and ClickUp to ensure the integrity and accuracy of accounting information.
- Assist with account reconciliations and other requested financial documents.
- Participate in recurring meetings with management and clients to discuss Time and Material billing and account status.
- Maintain assertive communication with the Accounts Receivable Team Leader and departments including Finance, Accounting, Pre-Construction, and Operations to ensure billing efficiency and timely payments.
- Address and professionally resolve any disputes or inquiries related to additional invoices.
- Support in preparing reports, reconciliations, and other documents requested by the accounting department supervisor.
