Job Summary:
The Client Service Associate works as a generalist within the client service team to complete essential back-office functions. Their primary responsibility is to provide support in managing client engagement. Additionally, they support the team through the timely and accurate delivery of client requests, assist in completing all pending work assigned to the team, and contribute to team projects throughout the year.
Duties may fluctuate with seasonality, market volatility, and team coverage, so adaptability is critical. Occasional overtime may be required. Attention to detail, taking initiative, successful problem solving, and consistent follow-through are essential to be successful in this role. This role requires in-office attendance at our designated office location.
We are looking for someone with financial services experience to help us deliver outstanding service by building and encouraging the client relationship, as well as performing all related administrative functions. Primary Responsibilities & Activities
- Greet clients warmly and professionally, both in-person and over the phone, ensuring a friendly and welcoming experience. This includes responding to client requests with timeliness and accuracy in mind.
- Oversee financial advisor calendars and coordinate client engagement activities, including scheduling appointments, managing meeting logistics, and ensuring timely follow-ups.
- Add and maintain client data in client relationship management system.
- Assist colleagues within the department with daily tasks and projects, such as processing account opening applications, handling transfer paperwork, managing money movements, and performing various industry-specific administrative tasks.
- Provide administrative support by managing office supplies and inventory, handling mail distribution, and ensuring efficient office operations.

Knowledge, Skills & Abilities
- Two years of relevant financial services experience is preferred, but not required.
- Bachelor’s degree or equivalent experience preferred.
- Strong attention to detail, with excellent written and verbal communication skills.
- Self-starter with the ability to make business decisions independent of firm leadership.
- Able to adapt to changes in the work environment, handle challenging demands and work with frequent change, delays, or unexpected events.
- Must demonstrate professionalism, diplomacy, and be able to work with a variety of personalities.
Salary & Benefits
High Note Wealth adopts a market-based approach to compensation. The expected base salary range for this role is $60,000 - $80,000. However, the final base pay will be determined based on several factors, including responsibilities, job-related skills, relevant experience, location, and market conditions. Additionally, this role may be eligible for other forms of compensation and benefits, including a discretionary bonus, partial tuition reimbursement, insurance, health and dental plans, and 401(k) contributions.
