SEMCOA (Southeast Massachusetts Council on Addiction) is dedicated to the provision of residential and continuing care for those who have problems with substance use disorder (SUD) through programs that encourage clean and sober living and healthy choices. SEMCOA, Inc. also advocates for and provides substance abuse education and prevention programs in the community. Our residential recovery treatment programs offer services and temporary housing to individuals with substance use or co-occurring disorders.
High Point & Affiliated Organizations is a health and human service agency whose mission is to treat and prevent substance use disorders and mental illness. High Point has programs located throughout Southeastern Massachusetts offering a full continuum of care for substance use and mental health treatment, including inpatient, outpatient, residential, and community-based services. Programs and services also assist survivors of abuse, violence, and families experiencing homelessness. High Point believes that everyone has inherent goodness, worth, and dignity. Administrative Assistant Duties & Responsibilities :
Compliance with Federal Regulations, 42 CFR Part 2, Confidentiality of Alcohol and Drug Abuse Patients & HIPAA RegulationsCollects and enters data needed for various reportsMeet and greet all visitors and assist with their requests. When necessary, provide basic public relations with clear and adequate information.Maintain accurate visitor log and signed confidentiality visitor lettersReceive, screen, and direct all incoming switchboard telephone calls to the facility. Take messages when staff member is not available to receive call. Transfer the switchboard at the end of shift, to appropriate department.Receive all deliveries (other than dietary and housekeeping items) and distributes accordingly and able follow drop-off policy proceduresMaintain reception area - replenish of community handouts, neat appearance of area, proper working order of all office machines and reporting of any repairs to appropriate service company, provide assistance to employees needing assistance with proper machine use, secure all doors and windows of area at the end of shiftSort, date-stamp and distribute all in-coming mail, to include patient mailSort, weigh and stamp all out-going mail (to include UPS and overnight packages). At end of day, responsible to arrange delivery to post-office any pre-stamped mailArrange postal machine postage and repairsTracking and up-dating of mail service changes, as neededMaintain postage petty cash and weekly reconciliationMaintain accurate office supply system - to include ordering and receipt of all office supplies. Verification of accurate delivery and return of any supplies, as needed. Comparison from one supplier to the next for best pricing availableCo-ordinate emergency codes and evacuation procedures for the entire facilityPerform basic secretarial functions as assigned by COO and / or SupervisorAttend mandatory training / meetingsAbility to respond to TTY and in-house "Codes"Utilizes universal precautions at all timesDemonstrates behaviors that recognize the rights of patients as defined by the patient rightsOther duties as assigned by the Director of Admissions / Utilization Management to insure safe and appropriate operation of the facilityAdministrative Assistant Qualifications :
1-3 years experience preferredPresent as courteous and professionalDemonstrated flexibility, dependability, and ability to multiply taskExcellent verbal and written communication skills, including the ability to organize ideas in logical and clear fashion as well as be able to format memos, letters, etc.Exceptional organizational skillsProficiency and knowledge of basic computer skills; including various software programsAbility to learn, use, and train the use of our electronic medical recordsAn understanding of the relationship between substance use and mental health issues and / or self-help programsAn understanding of boundaries and ethics, a mustWork well within a team environmentAbility to plan duties for maximum effectiveness and efficiencyMust be able to work independently
