High Point University is currently seeking a Transcript Coordinator. The Transcript Coordinator is responsible for managing transcript requests both online and in-person; processing verifications, loan deferment forms, and FERPA documents in a timely and efficient manner; management of document imaging system; supervision of work-study students; and other related matters in the Office of the University Registrar as assigned by the AVP & University Registrar. This position serves as the front-line contact person for the Office of the University Registrar. It requires the ability to perform multiple concurrent tasks during pressure situations while maintaining a high standard of customer service.
QUALIFICATIONS:
Education
- BA or BS preferred, although appropriate experience can be substituted
Experience and Training
- Previous work experience in a college environment, working with students, parents, faculty, alumni.
- Excellent computer skills required; familiarity with Ellucian-Colleague and National Student Clearinghouse is a plus.
Knowledge, Skills, Ability:
- Knowledge of student registration policies, procedures, and degree requirements and university bulletin
- Knowledge of Family Educational Rights and Privacy Act (FERPA)
- Excellent verbal and written communication skills
- Strong interpersonal skills; detail oriented
- Excellent organizational and planning skills
- Honesty, integrity, enthusiasm, student service oriented and a strong work ethic
- Proficient in Microsoft Office products and Ellucian-Colleague higher education software
ESSENTIAL FUNCTIONS:
- Processes all academic transcript requests (official and unofficial) received through mail, fax, and personal visits in a timely manner. Documents in Ellucian – Colleague system
- Responds to outside agency requests regarding enrollment verifications, subpoenas and or similar requests
- Manages online electronic transcript service with National Student Clearinghouse
- Compiles enrollment verifications and certifications
- Processes letters for good student insurance discounts
- Assists in registration activities for all students
- Collaborates with Associate University Registrar with entering course schedules for undergraduate program
- Maintains FERPA information on all students for university
- Processes schedule changes/updates for students
- Lead point of contact regarding phone inquiries, assisting students, faculty, staff, and alumni at service desk
- Manages all document imaging processes
- Manages Registrar’s Office email inbox and responds accordingly
- Manages all general inquiries and determines best outlet to serve students
- Organizes and maintains all files associated with operations of the office
- Assists with commencement activities
- Prepares monthly report to AVP/University Registrar of students requesting transcripts sent to other schools for retention documentation
- Cross trains with Academic Records Manager to enable uninterrupted service
- Hires, trains, and supervises work study students
- Maintains positive work atmosphere by acting and communicating effectively with students, students' parents, faculty, co-workers and managers
- Processes purchase orders and expense reports for department using Unimarket
- This is both an administrative and a customer service role, in which routinely interacts with students and faculty
- Manages AVP/University Registrars’ student/parent appointment calendar
- Other duties as assigned by the AVP/University Registrar
