Primary Purpose:
Under close supervision provide reception and clerical assistance for the efficient operation of the campus office. Potentially complete purchase orders and/or assist with attendance as needed. The duties of this position could potentially change in accordance with front office realignment.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient keyboarding skills
Effective organization, communication, and interpersonal skills
Ability to understand and follow detailed written and verbal instructions
Ability to operate multi-line phone system
Experience:
Prior clerical experience in office setting
Major Responsibilities and Duties:
Reception and Phones
- Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
- Complete purchase requisitions for campus needs.
- Organize calendar for principal and campus.
- Greet and direct campus visitors. Maintain visitor log and issue visitor passes. If campus assigned, only handle when attendance clerk is absent.
- Assist parents in checking students in and out of school.
- Assist with the receipt and distribution of student materials, including homework requests.
- Receive, sort, and distribute mail, messages, documents, and other deliveries.
Other
- Provide clerical assistance as needed including assisting with the scheduling of appointments.
- Compile, maintain, and file all reports, records, and other documents as required.
- Maintain maintenance on campus copy machines and order copy supplies when needed, only if campus assigned.
- Compile staff time sheets every week, only if campus assigned.
- Check attendance only if campus assigned.
- Assist with attendance, in PEIMS clerk’s absence. Only if campus assigned.
- Contact parents/guardians to verify student absences as needed and report attendance problems to designated administrator, in attendance clerk’s absence.
- Run attendance verification, in PEIMS clerk’s absence. Only if campus assigned.
- Handle Absence Management system for assigned campus.
- Maintain confidentiality.
- Follow district safety protocols and emergency procedures.
- Other duties as assigned.

Tools/Equipment Used: Multi-line phone system; standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours
