Primary Purpose:

Under close supervision provide reception and clerical assistance for the efficient operation of the campus office.  Potentially complete purchase orders and/or assist with attendance as needed.  The duties of this position could potentially change in accordance with front office realignment.

Qualifications:

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills:

Proficient keyboarding skills

Effective organization, communication, and interpersonal skills

Ability to understand and follow detailed written and verbal instructions

Ability to operate multi-line phone system

 

Experience:

Prior clerical experience in office setting

Major Responsibilities and Duties:

Reception and Phones

  1. Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  2. Complete purchase requisitions for campus needs.
  3. Organize calendar for principal and campus.
  4. Greet and direct campus visitors. Maintain visitor log and issue visitor passes. If campus assigned, only handle when attendance clerk is absent.
  5. Assist parents in checking students in and out of school.
  6. Assist with the receipt and distribution of student materials, including homework requests.
  7. Receive, sort, and distribute mail, messages, documents, and other deliveries.

Other

  1. Provide clerical assistance as needed including assisting with the scheduling of appointments.
  2. Compile, maintain, and file all reports, records, and other documents as required.
  3. Maintain maintenance on campus copy machines and order copy supplies when needed, only if campus assigned.
  4. Compile staff time sheets every week, only if campus assigned.
  5. Check attendance only if campus assigned.
  6. Assist with attendance, in PEIMS clerk’s absence. Only if campus assigned.
  7. Contact parents/guardians to verify student absences as needed and report attendance problems to designated administrator, in attendance clerk’s absence.
  8. Run attendance verification, in PEIMS clerk’s absence. Only if campus assigned.
  9. Handle Absence Management system for assigned campus.
  10. Maintain confidentiality.
  11. Follow district safety protocols and emergency procedures.
  12. Other duties as assigned.

None.

Mental Demands/Physical Demands/Environmental Factors:

Tools/Equipment Used: Multi-line phone system; standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
