Summary
The VBS Logistics Coordinator is responsible for managing the behind-the-scenes details that ensure a smooth and efficient Vacation Bible School (VBS) experience. This role includes overseeing scheduling, supplies, facilities, and general operations to create a well-organized and safe environment for children, volunteers, and staff.
The expectation is that the VBS Logistics Coordinator will be present before, during, and after VBS to ensure all logistical aspects run seamlessly. This position requires strong organizational skills, attention to detail, and the ability to problem-solve on the go.
DutiesPre-VBS Responsibilities
- Develop and maintain a detailed schedule for VBS activities, ensuring smooth transitions between sessions.
- Coordinate with facilities staff to ensure rooms, outdoor spaces, and resources are properly set up.
- Manage the inventory of supplies, including ordering, organizing, and distributing materials as needed.
- Collaborate with the Volunteer Coordinator to ensure volunteers have the necessary supplies and instructions.
- Plan and implement check-in and check-out procedures to ensure the safety and efficiency of participant drop-off and pick-up.
VBS Week Responsibilities
- Oversee the daily operations of VBS logistics, troubleshooting any issues that arise.
- Ensure supplies are restocked and distributed as needed throughout the day.
- Support volunteers and staff in navigating logistics, such as room transitions and activity setup.
- Monitor safety protocols, including emergency procedures and facility security.
Post-VBS Responsibilities
- Assist in post-event cleanup and ensure materials are properly stored for future use.
- Gather feedback on logistics to improve future VBS programs.
- Help coordinate a debrief with leadership and volunteers to discuss improvements.
Ensure Continuity of Leadership
- Notify leadership well in advance if unable to fulfill duties and help identify a replacement.
Other duties as assigned by the Head of Staff, Co-Coordinators, or Kids Ministry Director.

Relationships
The VBS Logistics Coordinator reports directly to the Children's Ministry Co-Coordinators and works alongside colleagues to implement the vision and mission of Highlands, which is to "build communities so that more people know the Hope and Joy of Jesus." This role involves coordinating with volunteers, church leadership, and ministry teams to ensure a smooth and successful VBS experience.
