POSITION SUMMARY:

Clerical in nature, work includes general office duties, answering and re-directing incoming calls, document scanning for Business and Court Services departments and providing general information on department functions in the Clerk of Courts Office as well as assisting members of the public. This position is also responsible for receiving, sorting, and delivering all inbound mail to different departments, as well as adding postage to mail. This is a non-supervisory position.

ESSENTIAL JOB FUNCTIONS:

· Answers incoming telephone calls, assists when able, and transfers to appropriate department when necessary.

· Update Clerk phone list periodically.

· Assists public when necessary and directs them to the appropriate department(s).

· Document scanning for the Business and Court Services departments.

· Collects, sorts, and distributes all inbound mail daily, and keeps track of priority and certified mail.

· Daily mail (and/or document) delivery.

· Assist Clerk and Board departments with adding postage to outgoing mail and provides postage logs to departments as requested.

· Manages the postage meter equipment and ensures all necessary resources are available to process mail consistently.

· Stays up to date with postage rate changes.

· Assists manager with monthly postage reports and processes payment of postage invoices.

· Assists other divisions as assigned by immediate Director.

· Employees will be required to perform other duties as directed.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS, AND ABILITIES:

· Knowledge of telephone system.

· Knowledge of computer input and use of current software.

· Knowledge of operation of calculator, typewriter, copiers and other business office machines.

· Ability to establish and maintain effective working relationships.

· Ability to respond to routine correspondence from the public.

· Telephone courtesy and information gathering skills.

· Effective written and oral communication skills.

· General knowledge of office practices and procedures.

· Skill in dealing with members of the public.

· Ability to learn the functions and operations of Central Services and other departments

· Ability to manage multiple tasks simultaneously.

EDUCATION AND/ OR EXPERIENCE:

· Graduation from an accredited high school or possession of an acceptable equivalency diploma.

· Three (3) years experience at computer operation and clerical work.

LICENSES, CERTIFICATIONS, OR REGISTRATIONS:

· N/A

ESSENTIAL PHYSICAL SKILLS:

· Ability to communicate using speech, vision, and hearing skills.

· Keyboard and other business office machines operation capability.

· Ability to remain at a workstation and view a display screen for extended periods of time.

· Ability to speak clearly and distinctly using good grammar and a pleasing voice.

· Ability to use both hands with dexterity.

· Traverse stairs (if elevator is not accessible). Sit for extended periods of time. Delivery of daily mail (and/or documents) from Government Center to Courthouse. Lift and carry objects in excess of 10 pounds. Bend. Stoop.
