SUMMARY: Under the general direction of the building or department administrator, the receptionist provides assistance, information and referrals to internal and external customers with courtesy, tact and respect, operates a multi-line telephone system, directs calls to appropriate parties, and notifies building staff of visitors and coordinates connection between staff and visitor. This position creates a welcoming climate for internal and external customers, provides clerical assistance to the office, and provides back-up coverage for others during breaks, lunches and absences.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. This list is meant to be representative, not exhaustive. • Greet internal and external customers with courtesy, tact and respect.
• Provide general information and referrals to various departments or other district sites.
• Direct visitors to offices or classrooms and manages visitor security processes (Sign-in sheets/visitor badges).
• Notify building staff of visitors and coordinates connection between staff and visitor.
• Operate a multi-line telephone system, provides general guidance, and directs calls to the appropriate parties as needed.
• Reserve meeting rooms and communicates meeting room requirements to lead custodian as needed.
• Receive, sort and distribute incoming mail and packages. Sign for incoming materials and notify staff that materials have arrived.
• Perform a variety of general clerical work such as filing, photocopying, record keeping, basic data entry, ordering and inventorying supplies, calling in maintenance repair requests, etc.
• Maintain records and prepare simple reports.
Other Functions
• Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE:
High school diploma or equivalent
PREFERRED QUALIFICATIONS:
One year of clerical experience
Bilingual – Spanish
CONDITION OF EMPLOYMENT:
Criminal background clearance
All certificates, licenses, endorsements, permits, and vaccines (absent exemption) as required for this position by state and local authorities
