The Office of Student Life is seeking a candidate full-time Manager of Student Life Operations. This position supports represents the Office of Student Life as the first point of contact for general phone calls, emails, walk up visits and questions related to the Office of Student Life; provides HPU students, faculty, staff, and families with first-class customer service and assists in finding solutions to issues of any kind; oversees the Office of Student Life front desk staff and delegates tasks to ensure timely completion of operational duties, and organizes and provides administrative support for operations of the Office of Student Life. QUALIFICATIONS: Education Required: Bachelor' s Degree. Experience and Training 1 to 2 years customer service experience in a professional setting required Knowledge of HPU and understanding of the university’s culture required Management/Supervisory experience required Previous work in a college and/or university setting preferred Knowledge, Skills, Ability: Exceptional customer service and interpersonal skills Ability to supervise fulltime staff and student employees Understanding of professional development and ability to train/coach staff Excellent organization, planning and prioritization skills Great attention to detail and resourcefulness; must have a figure-it-out mentality Ability to multitask and work with a sense of urgency while maintaining composure Solution-oriented and positive attitude required Ability to work occasional evenings and/or weekends Proficient in Microsoft Office products, internet navigation, and general understanding of social media platforms Significant computer knowledge and proficiency with Microsoft products required Knowledge of WordPress, Google docs/sheets, Maxient, Starfish, StarRez, Datatel/Colleague beneficial ESSENTIAL FUNCTIONS: Delivers the HPU experience and reinforces best practices developed by the Senior Director to run a “front of house” operation that includes open internal communication and consistent responses when assisting phone call, email, social media, and walk-up guests. Ensures that all inquiries are addressed in a timely manner and that all responses are consistent and accurate. Maintains an up-to-date internal knowledge base and shares all information and updates with the front desk team. Maintains awareness of all important university dates, major deadlines, and upcoming events Collaborates with office stakeholders to collect accurate information to ensure that the front desk team is set up for success. Collaborate with various departments to ensure a positive and quick resolution to issues and concerns. Supports Senior Director with daily management of front of house team to include training, coaching, disciplining, scheduling, delegating tasks/responsibilities and ensuring completion of assignments. Writes schedules and oversees coverage staff and student employee coverage of the front desk. Recruits and hires undergraduate and graduate office assistant staff. Manages prioritization and delegation of daily tasks to include appointment scheduling, returning voicemails/emails, travel card reconciliations, supply ordering, etc. Oversees facility-related responsibilities for the Office of Student Life suite. Oversees record keeping process and ensures routines updates are completed. Assists with maintaining and updating departmental webpages for the Office of Student Life Maintains office equipment, monitors inventories and orders approved supplies for the department as needed and within budget. Manages reception area and telephone system for the Office of Student Life Manages internal office calendar for department. Reinforces communication tracking systems. Assists the office with submitting and maintaining a record of work orders, IT service tickets, catering requests, room reservations, etc. to support office-wide needs. Collaborates and assists with administrative tasks associated with major functions such as Move-In (Summer Advantage & August), closing out the campus for end of year, Health & Safety periods academic breaks, etc. Other duties as assigned.
