Position Overview: We are seeking a highly organized and proactive Operations Coordinator to join our team. This role is essential for assisting with the scheduling and coordination of cathodic protection surveys, assisting Project Managers, and ensuring effective communication across teams. The Operations Coordinator will also work directly with the Inventory Specialist to ensure equipment readiness and participate in key meetings, including the recurring "Upcoming Jobs" meeting.
Key Responsibilities:
- Scheduling and Coordination:
- Assist Project Managers with daily administrative tasks, including preparing documents, managing schedules, and updating project timelines.
- Allocate resources, including survey teams and equipment, to ensure timely and effective survey execution.
- Help organize travel arrangements and logistics for survey teams when required.
- Internal Communication and Support:
- Provide Project Managers with updates on scheduling and resource allocation.
- Effectively communicate with team members and be ready to assist in the project lifecycle.
- Support team meetings by preparing agendas, taking notes, and tracking action items
- Equipment and Inventory Management:
- Assist Project Managers in identifying the equipment needed for specific jobs and ensuring it is prepared and available.
- Collaborate with the Equipment Manager to ensure that equipment resources are in working order and prepared for upcoming jobs/projects.
- Monitor equipment usage and notify appropriate personnel if maintenance and repairs are needed.
- Meeting Coordination:
- Coordinate essential meetings, including the "Upcoming Jobs" meeting, on a recurring basis.
- Facilitate discussions on job schedules, resource allocation, and project updates during meetings.
- Documentation and Reporting:
- Maintain accurate records of survey schedules, resource usage, and operational details.
- Assist Project Managers in preparing reports and project documentation.
- Support the creation and distribution of client-facing and internal documents as directed.
Qualifications:
- Education and Experience:
- Associate degree in Business Administration, Operations Management, or a related field, or equivalent work experience.
- Minimum of 1-2 years of experience in operations coordination, scheduling, or a similar role, preferably within the oil and gas or survey industry.
- Skills:
- Strong organizational and multitasking abilities with exceptional attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in scheduling software and Microsoft Office Suite (Word, Excel, Outlook).
- Experience facilitating effective team communication.
- Attributes:
