Job Summary:
Responsible for the organizations’ end-to-end payroll and time and attendance processes in a start-up environment. Ensuring all functions are performed timely, accurately and in compliance with internal policies, tax regulations and government regulations. Close collaboration with an external payroll processor to ensure timely and accurate bi-weekly payroll runs as well as internal functions. Continuous process improvements and management of a small team.
Principal Duties and Responsibilities:
- Lead payroll organization in a start-up environment and supervision of a small Payroll and Benefits Team. This includes:
- Performing all personnel management activities for staff, including:
- Direct supervision in all aspects of their daily work,
- Recruitment,
- Training,
- Performance evaluation and job development
- Performing all personnel management activities for staff, including:
- Manage full-cycle in-house United States /Puerto Rico payroll on a bi-weekly basis for exempt/non-exempt employees’ workflow to ensure all payroll-related transactions are processed timely and accurately by auditing, validating and approving transactions and correct posting to General Ledgers including accruals
- Ensures timely and accurate processing of payroll transactions and updates including salaries, benefits, garnishments, taxes, and other deductions as well as new hires, terminations, and changes to pay rate.
- Responsible for tax-related tasks (i.e. W2) including managing and administrating the business registration process for new States and Localities for payroll tax accounts.
- Responds to questions from team members regarding paychecks, direct deposits, tax deductions, and/or general payroll questions respecting privacy and confidentiality of information.
- Prepares and maintains accurate records and reports of payroll transactions
- Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Manage HRIS System in establishing data governance and structure – current system is ADP.
- Time & Attendance system, holiday calendars, work schedules and assist managers and team members.
- Facilitate audits by providing records and documentation to internal and external auditors.
- Ensures up-to-date process documentations, work instructions and guidelines are in place.
- Maintain and review payroll processing system to ensure accuracy and compliance of payroll calculations including salaries, benefits, garnishments, taxes, and other deductions and withholdings.
- Ensure adherence to Finance and Compliance policies and internal controls.
- Close collaboration with external Payroll Processor, Human Resources, Benefits, Finance and IT Teams.
- Participating in projects, continuous process improvements, system implementations and performing other duties as required by role and management.

Education/Experience Requirements
- Minimum 5 years in a payroll related function with supervisory responsibilities.
- Strong knowledge of payroll function, including preparation, balancing, internal control and payroll taxes.
- Strong analytical skills and good understanding of accounting principles.
- Initiative, self-starter and process-driven with high level of attention to details.
- Excellent organization skills and problem-solving skills.
- Strong Communication skills (oral and written), interpersonal and collaboration skills.
- Ability to deal with competing priorities and work under time pressure and towards deadlines.
- Integer personality with strong work ethics and full appreciation of data privacy and handling confidential information and data
- Good skills with Microsoft products (Excel, Word, PowerPoint) and systems required.
- Experience with ADP Workforce Now an advantage.
