Job Summary: The Front-desk Administrator is responsible for managing the front desk and providing administrative support to ensure smooth office operations. This role involves acting as the primary point of contact for visitors, handling incoming communications, managing deliveries, and maintaining office supplies and facilities.
Key Responsibilities:
- Serve as the first point of contact for visitors and callers, providing assistance in person, by phone, and via email.
- Open the office each morning and ensure common areas are presentable.
- Handle incoming phone calls, route inquiries, take messages, and direct calls to the appropriate parties.
- Greet and direct visitors, manage the reception area, and oversee the appearance of meeting rooms.
- Receive, sort, and distribute incoming mail and packages; manage outgoing mail according to office procedures.
- Coordinate the receipt, logging, and distribution of deliveries from various couriers.
- Maintain records of documents and packages received and ensure they are routed to the appropriate departments.
- Manage and track outgoing deliveries, ensuring proper documentation.
- Maintain an adequate supply of office and shipping materials, and reorder as necessary.
- Place orders for office supplies and coordinate with vendors.
- Assist with building management requests and prepare access cards for new employees.
- Ensure office equipment, such as printers, are stocked with necessary supplies.
- Coordinate employee recognition activities, such as preparing birthday or anniversary cards.
- Support HR with administrative tasks related to employee onboarding and office events.
- Manage and update marketing materials inventory.
- Keep accurate records of receipts and submit them for financial processing.
- Ensure the cleanliness and organization of common areas, such as the kitchen.
- Coordinate weekly office lunch orders and assist with event planning.
- Prepare onboarding materials and nameplates for new hires.
- Distribute information packages and loan applications as needed, following manager approval.
- Perform other administrative tasks as assigned.
Job Type: Full-time
Pay: $19.50 per hour
