What You’ll Do:
Office Management and ‘Well-Being’
- Answer incoming client calls and first point of contact for all visitors
- Ensure the common areas are kept clean (we have a cleaning service), supplies are stocked, packages have been shipped, etc.
- Coordinate and confirm client in-office and external meetings
- Greet visitors and preparing the conference room for client meetings
- Manage vendor invoices
- Keep stock of office/kitchen supplies
- Send new client welcome packages, scanning documents, creating shipping labels, copier, etc.
- Work with our marketing professional to organize client appreciation events: secure venues, catering, incidentals
- Manage client gifts and holiday card mailings
- Ensure and expand brand integrity through client satisfaction and expectation setting
Soft skills
- 5 or more years of experience in a related position, preferably in the financial services industry
- Attention to detail and managing projects
- Client service experience and mentality
- Ability to adapt, pivot, and learn
- Enthusiasm, positive attitude, ability to build rapport
- Desire to add value to an organization
- Experience with Microsoft Office
- Proficiency with standard office equipment: copy/scan, webcam,
- Ability to learn specialized software with support and guidance
