What are the responsibilities and job description for the Event Coordinator position at Highwire Tucson?
The HighWire Event Coordinator is responsible for overseeing the planning and execution of all events, private, public and nonprofit, while upholding our mission statement. Keeping all events within budget and timelines. Events must comply with all State and Title IV liquor laws and HighWire's house rules.
General Accountabilities
- Develop public events such as theme and holiday parties, propose budget and plan for approval, keep track of costs and provide after action reports.
- Develop new clients for paid private events, happy hours and maintain current groups events. Create quotes for private events, budgets and execute invoices within provided guidelines. This includes Highwire’s involvement with The Grand event center and any offsite events.
- Utilizing the provided spreadsheets and guides to meet matrix requirements is essential.
The Event Coordinator must work successfully with bar staff, peers, marketing company and catering, laying out clear, direct guidance and instruction to execute events.
- Coordinate and order any items needed for events and record costs in provided spreadsheets (i.e. stage and table rentals, décor items, linens, etc.).
- Handle day-of preparations and follow through until event is complete.
- Responsible for use of company credit card and Amazon account for approved purchases.
- Create and provide staff with approved memos and directions to any changes for events (i.e. dress codes, event times, cocktail changes and themes).
- All other duties as assigned by management or ownership within reason.
Supervisory Responsibilities
- This is a management position with the ability to schedule staff for events.
- Authority to issue verbal warnings and write ups (to be done with another member of management present). Upper management will make themselves available to assist in these processes.
Management meetings held every Monday for one hour from 11:00am-12:00pm.
Job Qualifications
- Experience in the service industry is preferred.
Compensation
- This is a salaried position that should be managed within a 40-hour work week, some weeks will be less and some will be more.
- Bonus structure based on meeting/exceeding matrix requirements.
- 2 weeks paid vacation per year.

Salary : $49,000 - $65,000
