Summary
The Project Management Analyst 2 is a member of the Program Management Office team and provides direct support and day-to-day administrative assistance to the program/project manager(s), as well as leads tasks.
This position will preferably be onsite in Panama City Beach, FL and will support the NSWC PCD Special Projects and Operational Testing (SPOT) contract. Alternate locations could be considered if applicant has working knowledge of HII processes and procedures. Oversees and manages the operational aspects of ongoing projects and serves as liaison between project management and planning, project team, and line management. Reviews status of projects and budgets; manages schedules and prepares status reports. Assesses project issues and develops resolutions to meet productivity, quality, and client-satisfaction goals and objectives. Develops mechanisms for monitoring project progress and for intervention and problem solving with project managers, line managers, and clients.
What You Will Do
- Reviews contractual requirements and participates in defining program requirements
- Provides centralized support functions to program managers and their teams
- Drafts correspondence and streamlines communications between divisions and corporate offices
- Tracks and maintains records, information, and data on department activities and schedules for management including time keeping, travel, purchase orders, and invoices
- Prepares reports and contract deliverables from spreadsheets, databases, and other inputs provided
- Responsible for capturing meeting minutes and providing a draft to task leads/managers for review prior to submission of final version to the government customers
- Adheres to administrative procedures and makes recommendations to improve efficiency
- Conducts administrative tasks and provides support associated with Human Capitol, Recruiting, and Security as needed
- Ensure compliance with Government regulations and HII processes affecting workflows and facility requirements
- Coordinate schedules to facilitate completion of proposals, contract deliverables, task order review, and briefings/presentations
- Interfaces with personnel to coordinate meetings and events, maintain logs, records, and files, provides end user support, and performs general administrative duties
- Assists in the preparation of management plans and reports
- Responsible for developing, drafting, writing, and editing reports, briefs, proposals, and other documents in support of a client's requirements
- Assists in maintaining the SharePoint site for the SPOT contract team to include ensuring deliverables are uploaded to the appropriate location and mapping properly to the deliverables database within SP
- Gathers monthly status report inputs from HII personnel as well as subcontractors, sending out reminders in advance with due dates, following up if they are not received in a timely manner and compiling the data in the monthly status report
- Maintains consistency in deliverables by providing a quality check to ensure fonts and formats are uniform
- Must have flexibility, as customer requirements change and best practices are implemented and be adaptable to new processes and procedures
- Responsible for ensuring that contract deliverables are placed in proper SharePoint folders and map properly to the Contract Deliverables database
- Responsible for updating and maintaining various trackers as assigned for contract deliverables, and ensuring the SharePoint database matches a tracking sheet
- Assists Program Managers and task leads with data collection, reporting, tracking and presentation as required
- Responsible for all aspects of assigned projects cradle to grave to include all paperwork affiliated with task purchases, communicating with subcontractors and vendors as appropriate, budget tracking and updates based on information obtained from the project control team and/or contract modifications, creating statements of work, sole source justifications and technical evaluations as required by assigned tasks
- Performs additional duties and responsibilities as assigned
What We Are Looking For: Minimum Qualifications
- 3 years relevant experience with Bachelors in related field; 1 year relevant experience with Masters in related field; or High School Diploma or equivalent and 7 years relevant experience.
- Proficiency in Microsoft Office applications: Word, Excel, PowerPoint, SharePoint, and Outlook
- Excellent communication, organizational, and interpersonal skills
- Must be able to work with little supervision and can take charge of tasks Active Secret Clearance
Preferred: Bonus Points For
- Knowledge of government contracting environment, management/business plans and program reporting
- Experience using CostPoint
- Familiarity with:
- Federal Travel Regulations (FTR) NSWC-PCD stakeholders is a plus
