What are the responsibilities and job description for the HIL - Route Settlement Clerk position at Hiland Dairy?
The primary responsibilities include performing daily audit reviews for all delivery and transport routes ensuring all imported files from handheld devices and ticket details are uploaded timely and accurately into the company’s financial systems.
Responsibilities:
- Performs daily audit reviews for company routes ensuring that all handheld import files are uploaded timely and accurately the into company’s financial systems.
- Ending inventory, sales, route deposits, routes over/short total, adjustments for load errors, and verification of dump totals.
- Communicate with distribution branch managers and/or supervisors at the branch locations to resolve route discrepancies including missing sales, product variances, and cash shortages.
- Conducts extensive research regarding hand tickets (tickets not in handhelds) not in the system or document in order to record sales.
- Communicate with Shared Services route settlement department to resolve all route over/short balances daily
- Key all branch donation tickets and branch dock sales tickets.
- Research missing tickets, PODs, and customer short pays as requested by Shared
- Services AR and/or Route Settlement.
- Enter daily physical inventory counts in ROSS for branch locations with actual coolers.
- Research and resolve any variances to branch coolers.
- Communicating with the Shipping Manager to resolve any branch cooler issues directly affecting the main plant cooler.
- Reconcile and finalize all branch cooler inventories daily.
- Assisting the Distribution Manager in any other special projects or administrative duties.
- Must be organized, detail-oriented, and have strong communication skills (both verbal & written).
- Excellent attention to detail.
Qualifications and Experience:
- Solid 10-key and mathematical skills are required.
- Ability to listen, communicate both verbally and written and follow up effectively with all staffing levels and clients/customers.
- Familiarity with general ledger codes is helpful.
- Knowledge of a route settlement process is helpful.
- Computer savvy, especially in Microsoft Excel and Outlook.
- Must have the ability to perform at a high level in a fast-paced environment.
- Minimum age: 18
- Must be able to pass a drug screen and physical.
- Scan large amounts of documents.
Education:
- High School Diploma or equivalent required
The following qualifications are preferred, but not required:
- Proficient in typing.
- Previous experience using database applications.
- Manipulating/creating Excel spreadsheets.
Physical Demand/Working Conditions:
- Will be required to sit and stand for long periods of time. Will be required to lift and move large amounts of paperwork (boxes of files).
- Will be required to stoop, bend, and reach above the head and below the knees to file and retrieve data.
