Hill Country Animal Hospital is seeking a detail-oriented person who is compassionate, up-beat, and driven to join our amazing team as a Veterinary Client Service Representative. The person in this role must be able to deliver top notch client service to both patients and their families. The rold requires the ability to multi-task, work at a fast pace, have strong communication skills (both in-person and over the phone), and apply critical thinking skills.
Primary Responsibilities:
- Greet and welcome clients and visitors in a professional and friendly manner
- Answer phone calls, take messages, and redirect calls to appropriate individuals
- Provide clear communication with doctors and support staff
- Schedule appointments and maintain appointment calendars using practice management software (Avimark)
- Triage emergency situations
- Take and fill prescription requests
- Process payments for services and products
- Perform general administrative tasks such as filing, photocopying, and date entry
- Use of multi-line phone, email, fax, and computer
- Maintain cleanliness and organization of the reception area
- Assist with various office tasks as needed
Requirements:
- Previous experience as a veterinary receptionist or in a similar role preferred
- Knowledge of medical terminology and procedures is a plus
- Must be comfortable working with dogs and cats
- Ability to lift, carry, and move up to 35 pounds
- Endure sitting, standing, and walking on hard floor surfaces for extended periods
- Strong communication skills, both verbal and written
- Excellent customer service skills with the ability to handle difficult situations professionally
- Proficient in using office equipment such as computers, printers, and telephones
- Exceptional organizational skills and accountability
- Ability to work in a fast-paced environment and prioritize assignments to complete work in a timely manner
