Title: Substitute Coordinator/Lower School Events Coordinator
Purpose: To help fulfill the mission of Hill Country Christian School of Austin by coordinating substitutes during teacher absences.
Accountability: Reports to Lower School Principal
FLSA Status: Non-Exempt, Full-Time (while school is in session)
Qualifications:
- Must be a Christ-follower who upholds, in word and deed, the Hill Country Christian School of Austin’s Core Values and Statement of Faith.
- Must faithfully attend a church whose fundamental beliefs are in agreement with the Statement of Faith of this school.
- High school diploma or equivalent is required.
- Must have prior teaching/classroom experience or any experience supervising children.
- Strong organizational, communication, and computer skills are required.
- Must have ability to pay close attention to detail, communicate effectively orally and in writing, solve problems effectively and efficiently in a service-oriented manner, and demonstrate skill in using computer spreadsheets, online programs, email, text messages, and other applications as needed.
Sub Coordinator Responsibilities:
- Interview, hire, and train new substitutes.
- Verify all teacher absences, planned and emergency, through the scheduling system.
- Verify all teacher absence requests are covered by a substitute teacher.
- Communicate school wide policies and procedures to substitutes, as appropriate, in a timely manner.
- Verify substitute work hours for payroll.
- Continually evaluate and improve processes to better serve teachers and substitutes.
- Interact in a Christ-like manner at all times. Utilize the interpersonal relationship method of “Matthew 18” as commanded by Jesus Christ.
- Must have flexibility to handle “off” hour requests (including early mornings, evenings and weekends) for scheduling substitutes.
- Willingness to perform PK-12th substitute teaching for partial days and last-minute absences.
- Maintain and adhere to procedures in the Substitute Handbook.
- Collaborate with teachers on binders, lesson plans, coverage requests and substitute feedback.
- Willing to learn technology applications necessary for this position.
- Perform other duties as assigned.
Events Coordinator Responsibilities:
- Promote the school’s mission, making it the center of all decisions and actions.
- Assist in coordinating, planning, and logistics for lower school events and field studies.
- Maintain planning progress to be shared with the Lower School principal, administrative assistant, and grade-level teachers.
- Assist with technology needs before and during events.
- Coordinate and orient volunteers through regular meetings and communication as needed.
- Supervise and coordinate event badging, setup, day-of activities, and cleanup.
- Must be able to work some evenings for events.
- Evaluate and report outcomes and processes from events for continuous improvement.
- Assist grade-level teachers with contacting and securing venues for field studies.
- Attend development committee and advancement team meetings as needed.
- Track and submit vendor invoices and payments related to events and field studies.
- Apply and advocate the use of the Matthew 18 school policy for biblical conflict resolution.
- Other duties as assigned.
Physical Requirements:
- Must be able to frequently move about inside campus buildings and outside on the grounds.
- Must be able to remain in a stationary position for long periods of time.
- Must be able to grasp, move, or assemble small objects.
- Frequently operate a computer and a printer/copy machine using repetitive movements.
- Must be able to exchange accurate and professional information whether in person, via email or telephone. Frequently communicates with co-workers and others.
- Possess the physical stamina required to fulfill professional obligations and be able to lift 5 to 20 pounds.
- Ability to work in an open office setting with frequent in-person interaction and numerous interruptions.
- Possible exposure to a variety of childhood and adult diseases and illnesses.
- Occasional exposure to a variety of weather conditions for recess.
