Description

Your Responsibilities

As the Medical Records Coordinator is responsible for managing, organizing, and maintaining patient medical records. This role ensures the accuracy, accessibility, and confidentiality of all medical records in compliance with legal, regulatory, and organizational polices. The coordinator will interact with medical staff, clients, and other healthcare professionals to support the management of health information systems and facilitate efficient patient care.. In addition, you will:

  • Organize and maintain physical and electronic records for clients.
  • Ensure the timely and accurate filing/scanning of medical documents (e.g. patient charts, lab results, medical history, etc.) into the electronic health record (EHR).
  • Monitor records for completeness, accuracy, and compliance with healthcare regulations (e.g. HIPAA, OSHA, etc.).
  • Update patient files and health records as necessary, ensuring all information is current and accurate.
  • Respond to requests for medical records from healthcare providers, insurance companies, patients or legal entities, ensuring all requests are handled promptly and in compliance with relevant laws.
  • Ensure that confidential information is only released to authorized individuals.
  • Ensure compliance with patient privacy laws, including HIPAA, and organizational confidentiality policies.
  • Maintain up-to-date knowledge of regulatory changes affecting medical records management.
  • Oversee the proper disposal of records when they are no longer needed in accordance with retention policies.
  • Work closely with providers, nurses, and administrative staff to ensure that all necessary patient information is accurately documented and easily accessible.
  • Assist in audits and reporting on medical records compliance.
  • Provide recommendations for improving the documentation and record-keeping processes.
  • Assist in the development and implementation of medical records management procedures.
  • Perform periodic audits to verify the accuracy, completeness, and integrity of medical records.
  • Serve as a resource to staff to answer questions and educate them on current medical records policies/procedures and current regulatory guidelines.
  • Other duties as assigned.

 

What You Need

  • High school diploma or equivalent
  • Strong attention to detail and organizational skills.
  • Ability to manage and maintain confidential client information in compliance with privacy laws.
  • Proficient in Microsoft Office Suite.
  • Excellent communication skills, both written and verbal.
  • Ability to prioritize and multitask in a fast-paced environment.
  • Strong understanding of healthcare regulations, including HIPAA and other federal/state laws related to medical records.
  • Ability to work independently or as part of a team.
  • Excellent problem-solving and decision-making skills.
  • Mandatory Reporter of Child/Dependent Adult Abuse Certification or the ability to obtain within six (6) months of hire and every three (3) years thereafter required.
