Description :

The Office Assistant performs clerical, receptionist, and communication duties as well as requisitioning supplies, equipment, and services from other departments. Scheduled workdays and times could vary and may include weekends and holidays.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Supports and promotes an environment conducive with the Mission, Vision, and Values of the hospital.
  • Follows Standards of Behavior
  • Maintain and verify accuracy of patient records through completion of the result fax check, ancillary reports, calling for additional diagnosis codes / orders, and scanning in orders and reports.
  • Answering phones and faxing information
  • Schedule appointments for patients and providers relaying instructions for exams
  • Keep the Imaging personnel informed about specific assignments and records pertinent related to information about the patients on appropriate forms or in the electronic medical record.
  • Maintains confidentiality of all patients, hospital, or physician related information
  • Keeps patient care areas neat and clean.
  • Maintain orderly condition of assigned work area.
  • Is knowledgeable of general hospital policies and procedures.
  • Other duties may be assigned and are subject to change with or without prior notice.
  • Imaging Personnel – informing imaging personnel of tasks that need to be completed such as x-ray, CT, MRI, ultrasound, bone density, mammogram, nuclear medicine, surgery, and procedures.

  • Completes assigned daily duties.
  • Accepts reassignment to other units, if necessary

  • Displays thoroughness and accuracy of work.
  • Works in a safe manner, including reporting unsafe equipment or environment.
  • Well organized, accepts assignments willingly and accomplishes them quickly.
  • Anticipates problems and suggests solutions.
  • Helps with not specifically assigned duties.
  • Works steadily and always keeps busy.
  • Maintain knowledge and skills necessary to communicate and interact with patients, visitors, and staff in the following age groups : Infant, Pediatric / adolescent, Adult, and Geriatric
  • Ability to work well with a diverse work team.
  • Ability to work under pressure with time constraints.
  • Ability to concentrate.
  • Ability to work independently with minimal supervision.
  • Good mental health and emotional maturity
  • Good personal grooming and hygiene
  • Recognizes and respects the individual emotional, social, and cultural needs of patients, including their religious beliefs.
  • Always preserves the dignity and respect of all Patients.
  • Displays knowledge of sterile and non-sterile supplies, equipment, and procedures
  • Demonstrates knowledge of and practices Universal Precautions
  • Willingness to perform a variety of minimal repetitive tasks that may involve unpleasant conditions and maintain patience and tact.
  • Possession of a genuine interest and concern for geriatric and disabled persons
  • Completion of other assigned duties, as needed.

    Requirements :

    EDUCATION AND / OR EXPERIENCE

  • Must be able to read, write, and communicate in English.
  • Graduation from high school or GED is preferred.
  • Required proficiency in computer keyboarding and average typing skills.
  • Must have the ability to follow written and verbal directions.
  • CERTIFICATES, LICENSES, REGISTRATIONS

  • CPR Certification or willing to obtain within 30 days.
  • High School diploma (or equivalent)
  • PHYSICAL DEMANDS

  • Prolonged, extensive, or considerable standing and walking
  • Required to climb, balance, stoop, and kneel.
  • Required to use arms, hands, and fingers for repetitive grasping, pulling, and pushing and feeling.
  • Frequently lift and / or move up to 25 pounds and occasionally lift and / or move up to 50 pounds, any workload exceeding 50 pounds will require assistance.
  • WORK ENVIRONMENT

  • Works in well lit, climate-controlled setting
  • May be exposed to communicable diseases, unpleasant sights, odors, and materials.
  • The noise level in the work environment is quiet to moderate.
  • CORPORATE COMPLIANCE

    Receives training and / or attends necessary meetings to meet the criteria as outlined in Hillsboro Health’s Corporate Compliance Plan and Code of Conduct. Understands the responsibilities related to compliance and knows how to contact the Corporate Compliance Officer should there be any instance of question or concern regarding fraud and / or abuse.
