What are the responsibilities and job description for the Bookkeeper 1, School position at Hillsborough County Public Schools?
The School Bookkeeper 1 will perform bookkeeping and related accounting functions in the preparation and maintenance of financial records of a school site. Under the supervision of the school principal, the School Bookkeeper 1 will perform duties associated with the effective financial operation of the school for the school activity fund as well as the school’s supply budgets. Internal and external audits will play a role in employee evaluation.

- Maintains school financial records, including generalized and specialized files.
- Maintains district-prescribed accounting and internal control procedures over school activity funds.
- Ensures adherence to established procedures, including receipting onsite funds (e.g., ticket sales, yearbook purchases, field trips, fundraisers); prepares deposits; ensures deposits are submitted to the bank within established timeframes.
- Prepares checks for disbursements based on approved check requisitions.
- Reconciles monthly bank statements and financial data for principal’s and Internal Auditing’s review.
- Monitors financial procedures with individuals responsible for school site financial operations within district guidelines (e.g., student activities, fundraisers, bookstore, athletic department, and student clubs).
- Processes and monitors purchase orders and purchasing card (P-card) transactions; receives/distributes all supplies, equipment, and textbooks in the prescribed computer system in accordance with district policies and procedures.
- Answers telephones and takes messages as appropriate.
- Utilizes district-provided email for day-to-day work-related correspondence.
- Composes moderately complex correspondence for principal’s signature.
- Answers inquiries requiring interpretation of organization’s financial policy and procedures.
- Performs basic computer skills such as keyboarding, spreadsheets, and presentation software.
- Performs any other duties as assigned.
