Job Summary
President/CEO of an international group of companies; included in company portfolio produce production and sales, and luxury vacation rentals, seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative and calendar management. The ideal candidate will excel in managing schedules, handling administrative tasks, and ensuring smooth daily scheduling. This role requires a detail-oriented individual with strong communication skills and the ability to multitask effectively in a fast-paced environment.
Responsibilities
- Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
- Prepare and proofread correspondence, reports, and other documents to ensure accuracy and professionalism.
- Transcribe meeting notes and maintain organized records of important information.
- Provide exceptional customer service by responding promptly to inquiries and managing communications through various channels.
- Assist with clerical duties such as filing, data entry, and maintaining office supplies.
- Assist with private home management, ensuring that staff does tasks according to schedule and protocol, .
- Assorted tasks such as driving president to appointments, picking up parcels and other items, at times standing in for meetings as a representative, and maintaining wardrobe.
- Utilize computer literacy skills to manage office software applications efficiently.
- Support office management tasks, including coordinating office special events and maintaining a clean workspace.
- Collaborate with team members to ensure all projects are completed on time and meet quality standards. Attending staff meetings and providing minutes and follow up actionable items and individuals responsible, and ensuring follow through is on time.
Requirements
- Proven experience as a Personal Assistant or in a similar administrative role.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent proofreading abilities with attention to detail in written communication.
- Proficient in customer service principles and practices.
- Familiarity with clerical duties and office management processes.
- High level of computer literacy, including proficiency in Microsoft Office Suite or similar software.
- Ability to handle sensitive information with discretion and confidentiality.
- Strong sense of style and interior decorating an asset as it intersects with certain tasks
- Strong verbal and written communication skills.
