Key Responsibilities:
- Covering Staff Absences: Assisting in stepping in for staff members when needed, such as providing classroom coverage or office assistance.
- Foster a safe, engaging, and positive learning environment.
- Establish and maintain strong, communicative relationships with families.
- Work collaboratively with colleagues to support a team-oriented atmosphere.
- Provide general administrative support, including data entry, document preparation, and correspondence handling.
- Utilize Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, To-Do) to create, edit, and organize documents, spreadsheets, and presentations.
- Manage and maintain digital and physical filing systems.
- Operate standard office equipment such as copiers, printers, scanners, fax machines, and multi-line phone systems.
- Answer and direct phone calls in a professional and courteous manner.
- Order and maintain office supplies, ensuring inventory is stocked.
- Troubleshoot minor technical issues related to office equipment and software.
- Professional Development Tracking: Keeping records of staff training, workshops, certifications, and other professional development activities.
- Preparing Reports: Compiling data for daily or weekly reports (e.g., staffing, attendance, ratios), and assisting with any necessary documentation.
- Customer Service: Interacting with visitors, parents, or clients, answering questions, and providing necessary information.
- Distributing Schedules: Organizing and sending schedules to substitutes, staff, or other team members.
- Event Coordination: Assisting in planning and organizing school or office events, meetings, and social gatherings.
- Assist with other administrative and clerical duties as assigned.
Qualifications & Skills:
- High school diploma or equivalent
- Early Childhood and/or Office support experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, To-Do).
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and accuracy in work.
- Customer service-oriented with a professional demeanor.
- Basic troubleshooting skills for office technology.
- Must be CPR/First aid certified or have willingness to obtain.
- Must become a member of the Maine Roads to Quality registry.
- Must complete all required background checks and trainings to ensure compliance with childcare licensing rules.
Physical Requirements:
- Ability to sit, stand, stoop, reach, bend, walk, grasp, stretch, and perform repetitive motions.
- Ability to sit on the floor and get up from a seated position.
- Ability to navigate different terrains in outdoor play areas and actively move around to supervise children.
- Must be able to be outdoors in temperatures of 15 degrees or above, factoring in wind chill.
- Visual acuity including color, depth perception, and field of vision.
- Sufficient hearing ability to detect alarms, phones, pages, and verbal communication.
- Ability to perform light lifting (up to 50 lbs. occasionally, 20 lbs. frequently, or 10 lbs. constantly).
- May be required to sit or stand for long periods.
- Must be able to climb stairs to access classrooms and other areas of the building.
- Must be able to communicate verbally, including using phone and radio equipment.
