We are seeking a Banquet Supervisor for our Banquet / Ballroom space at the Hilton Garden Inn Cedar Rapids. We're looking for someone with a desire to learn about events and catering, have fun engaging with our guests and team, and work along side our banquets crew setting up, tearing down and orchestrating the events. As the ambassador of service in the banquets department, the Banquet Supervisor's primary role is to deliver exceptional events while ensuring HGI core values and standard operating procedure pertinent to the Banquet Department are being followed by all team members. The Banquet Supervisor is responsible for coordinating the delivery of all food and beverage for functions held in the Hotel and all details pertaining to functions being held in all Banquet and Meeting rooms in keeping with the standards prescribed by management. The position is primarily concerned with front of house activities. The Banquet Supervisor will coordinate with the Director of Sales and Executive Chef to meet customer expectations. The role requires a thorough knowledge of cost controls, service quality, preparing the venue, and coordinating the service of meals. A successful Banquet Manager will exhibit extensive experience in managing banquets and delivering services within budget; while ensuring that customers receive a level of service that exceeds expectations.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Supervise Associates to include developing positive working relationships, providing training and educational support, assisting in the recruitment process, and ensuring that Associates are meeting guest needs
- Manage the department by assisting Associates to understand and comply with employment practices, recommending employment decisions, supporting performance management, and implementing corrective action
- Ensure financial goals of the department and the hotel are being met by managing labor costs, supplies and equipment
- Determine and recommend revenue-driving initiatives in partnership with other departments and within banquets
- Contribute to the creation and implementation of new menus as well as other food and beverage marketing activities
- Maintain records and daily reports of operations, keeping hotel management updated regarding department performance
- Create a best-in-class guest experience, measured by brand specific service measurement scores, while engaging with guests, maintaining quality products, adhering to health code requirements, and enforcing cleanliness standards
- Perform and assist with cleaning duties while ensuring cleanliness of all meeting space as required by brand guidance and standards
- Coordinate activities with sales department, culinary staff, and other departments to ensure that services are provided in an efficient and timely manner
- Discuss sales event order details with Director of Sales and Executive Chef
- Plan & execute venue layout according to event order specifications
- Determine staffing needs for each event based on scope of the event
- Prepare work schedule and complete documentation in a timely manner
- Supervise and participate in the placement of tables, chairs, cutlery, plates, glasses, table linens, centerpieces, utensils & kitchen props for events
- Consult with Executive Chef regarding the timing of meal courses to be served
- Check for last minute changes and instructions with the event host
- Ensure timely and smooth conducting of banquet event
- Oversee the seating of guests, the serving of meals and beverages, and the clearing of tables
- Manage availability of liquor and soft drinks, when required
- Answer customers' questions and accommodate special requests
- Audit banquet checks to ensure that all services rendered are properly invoiced in a timely manner
- Control of Banquet china, cutlery, glassware, linen, and equipment
- Completion of function delivery sheets in an accurate and timely fashion
- Demonstrate an understanding hotel emergency procedure to include fire, life, and safety
- Ensure required training is completed for all relevant positions and regulations such as, but not limited to TIPS & other alcoholic beverage training, food safety training, service standards, etc.
- All other work as required to complete the primary purpose of the position
