We are looking for a flexible Part Time / (morning /evening / overnight availability) Hotel Front Desk Agent to serve as our guests’ first point of contact and manage all aspects of their accommodation. Hotel Front Desk Agent responsibilities include registering guests, managing reservations and providing information about rooms, rates and amenities. If you have a knack for customer service and work experience in the hotel industry, we’d like to meet you. Ultimately, you will help create a pleasant and memorable stay for our guests.
Responsibilities
a. Greet all customers who approach the Front Desk in a smiling, friendly manner.
aa. Act in the manner of a hotel concierge. Front Desk Sales Agent must be able to suggest to guest; events to attend around town, places to eat around facility and know directions around town.
ab. is the ambassador of the hotel. Front Desk Sales Agents must
know all aspects of the hotel. (Where the pool is located, hours of
F&B facility, where the laundry is located, difference in room types and what those room types have to offer the guest, know the competition and what they have to offer)
b. Check-in arriving guests in the most efficient manner possible,
following all established procedures and policies.
c. Check-out departing guests in the most efficient manner possible,
following all established procedures and policies.
d. Review arriving reservations for the day early in the shift, checking
for special requests, VIP’s, etc., preassigning rooms as
necessary.
e. Pre-register groups that have requested pre-registration.
f. Count cash drawer at beginning and end of each shift. Prepare
shift deposit accurately, following standard procedures.
g. Have complete understanding of all aspects of the PMS
cash register operation.
h. Compare housekeepers report with the folio bucket at the
beginning of the PM Shift or when Housekeeping is finished
for the day.
i. Enter all wakeup calls accurately.
j. Record messages and receive mail for arriving and in-house guests. Ensure that message lights are turned on and off as necessary.
k. Check all guest folios during each shift, checking for potential
credit problems. Ensure that all guests have either sufficient
cash balances or authorized credit cards to cover expected
charges. Take steps to notify cash customers who have used
their credit balances to come and pay on their account.
l. Record future reservations for any guest by phone or in person,
following all standard procedures. Always check for sold-out dates before promising availability.
m. Handle complaints efficiently and courteously. Listen carefully to the guest’s problem. If possible, take immediate personal responsibility to correct the problem. If you cannot correct the problem with available resources, notify your supervisor or the General Manager immediately. Always report the nature of the complaint to the General Manager so that an apology letter or other steps may be taken.
r. File folios, Reg cards, and reservations cards as necessary.
s. Be knowledgeable about scheduled groups and meetings. Take time to read function sheets and reservations in order to be completely familiar with them.
Coordinate with Maintenance on any guest reported or observed problems.
v. Answer telephone efficiently and pleasantly within three rings and with correct phrasing. Determine the nature of the call and transfer to the proper extension.
w. Complete shift checklist before end of shift.
a. Post room and tax accurately, verifying postings to the Housekeeper’s and Rooms Revenue Report.
b. Balance all income within proper areas.
c. Prepare the Daily Sales and Revenue Report.
d. Perform all activities of a Front Desk Clerk.
e. Follow Night Auditor’s Checklist completely.
g. Transmit nightly figures Fax Daily Sales and Revenue Report
h. Complete required reports correctly. Assemble audit bag.
Close out the day on the register.
l. Open lobby doors at the assigned time.
Skills
- Work experience as a Hotel Front Desk Agent, Receptionist or similar role
- Experience with hotel reservations software, like Cloudbeds and RoomKeyPMS
- Understanding of how travel planning websites operate, like Booking and TripAdvisor
- Customer service attitude
- Excellent communication and organizational skills
- Degree in hotel management is a plus
