Position Purpose:
The Sales Coordinator plays a key role in the support and coordination of the hotel’s group sales efforts. The primary responsibility of this role is to assist the regional sales team in managing leads, responding to client inquiries, and ensuring smooth communication between departments to achieve group sales goals. The Sales Coordinator will manage administrative duties, provide support to the sales team, and maintain an organized, efficient sales team. The role also requires the ability to "manage up" by anticipating the needs of senior team members and proactively providing the support they need to execute their strategic objectives.
Essential Functions:
(Average Percent of Time)
50% Sales Support
• Assist the Associate Director of Sales and Regional Sales Managers with daily sales activities, including preparing proposals, contracts, and presentations for group bookings.
• Coordinate and respond to group inquiries via email, phone, or online platforms in a timely and professional manner.
• Maintain accurate and up-to-date records of group bookings, contracts, and customer information in Salesforce.
• Prepare sales reports and projects as needed to assist in the forecasting and tracking of group sales performance as well as history.
50% Administrative Duties
• Maintain and update Salesforce with all relevant client and booking information.
• Manage the sales office’s calendar, including scheduling meetings, appointments, and travel arrangements for the sales team.
• Assist the sales team with coordinating travel arrangements, including booking transportation and accommodations, and managing expense report submissions.
• Prepare documents such as group contracts, addendums, and proposals
• Handle incoming and outgoing correspondence for the group sales department as requested
Supportive Functions:
Managing up
• Proactively anticipate the needs of senior sales leadership, ensuring they have all necessary materials, reports, and client information in advance of meetings or client engagements.
• Offer solutions to potential challenges the sales team may face, providing suggestions and feedback that support strategic decision-making.
• Manage upwards by providing regular updates on pending tasks and deadlines, helping senior management prioritize activities and stay focused on key objectives.
Client Interaction
• Coordinate and/or facilitate site inspections, group tours, and property visits for prospective clients when necessary.
• Ensure that clients' requests and special requirements are communicated effectively to other departments, such as events, reservations, a and food & beverage.
Internal Collaboration
• Collaborate with internal departments to ensure seamless coordination for potential and definite group bookings as needed
Specific Job Knowledge, Skill and Ability:
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
- Ability to effectively deal with internal and external customers.
- Basic knowledge of mathematics and calculator skills to prepare mathematical calculations without error.
- Ability to communicate effectively both verbally and in writing in order to interact with vendors and department hands.
- Basic typing skills, 60 words per minute, and ability to take dictation accurately.
- Salesforce Delphi FDC and Microsoft Office Suite preferred
Qualification Standards:
Education:
Bachelor’s degree in Hospitality, Business, Marketing, or related field preferred.
Experience:
Previous experience in hotel sales or administrative roles within the hospitality industry is preferred. Experience with group sales or events is a plus.
