THE POSITION
Hilton Tax & Wealth Advisors, headquartered in Alpharetta,
Georgia, has an immediate opening for an Office Administrator.
The Office Administrator will play a pivotal role in the company
success by supporting general organizational operations.
Responsibilities include administrative duties, client services,
correspondence, and reports. Outstanding customer service skills
are essential for this client-facing position.
The ideal candidate will possess strong communication skills, a
keen eye for detail, the ability to solve problems, and a positive
attitude. Experience in the financial services/insurance industry is
a plus. Monday to Thursday (4 10-hour days) schedule.

RESPONSIBILITIES AND ESSENTIAL DUTIES:
- Greet incoming visitors with a welcoming presence.
- Draft correspondence and other formal documents.
- Help manage CEO’s workflow tasks and client notes in CRM system.
- Coordinate calendar for client’s quarterly and annual reviews.
- Assist clients both virtually and over the phone with
- customer service matters.
- Maintain prospect lead tracking and conduct follow-up calls and emails with prospects.
- Assist with the development of company processes.
- Collaborate with other team members to ensure smooth office operations.
- Coordinate client kick-off call with CEO.
- Oversee the organization and overall accuracy of digital filing and other organization systems.
- Coordinate and track special projects or events.
- Perform all other general office tasks as assigned by Principals.
PREREQUISITE KNOWLEDGE, SKILLS AND ABILITIES:
- High school diploma or GED, required.
- Associate degree, preferred.
- A minimum of 3 years’ previous office administration experience, preferably in the Financial Services and/or Insurance field, required.
- Proven ability to work proficiently with little supervision.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to type a minimum of 65 words per minute.
- Maintain a professional appearance and perform well under stress.
- Discreetly handle confidential and sensitive information.
- Strong skills utilizing Office 365 and other computer programs.
- Attention to detail and a high level of accuracy.
PHYSICAL AND MENTAL REQUIREMENTS:
- Prolonged periods sitting at a desk and working on a computer
- Manual dexterity to operate a computer.
- Correctable vision and hearing.
- Excellent interpersonal skills.
- Clear, easy-to-understand oral communication ability.
- Must be able to lift up to 20 pounds at times.
