What are the responsibilities and job description for the Concierge position at Hippocrates Health Institute?
We are seeking a Front Desk/Concierge work fulltime shifts including weekend hours.
The Concierge responds to a wide variety of guest requests by accurately assessing the guest needs and then adding personal recommendations and touches to achieve maximum guest satisfaction while complying with all Inn policies. The Concierge is responsible for guest satisfaction with a goal of each guest getting exactly what they want in a very friendly and genuine manner. Complete guest satisfaction is the single most important function. It takes priority over all other daily duties. Therefore, whenever you can be of any help to a guest, be sure to offer your assistance graciously and in a timely manner, making them feel welcome.
- · Organize and coordinate all guests’ programs and interactions.
· Be conversant in all Hippocrates Wellness services (your knowledge about each is paramount)
· Generating guest letters for the beds.
· Personalizing the guest letter by guest names
· Working with housekeeping to get them inserted into their rooms
· Be responsible for guest concerns, complaints, and ultimately satisfaction. Whatever it takes within reason to accomplish a successful outcome is your responsibility. This often requires you personally accomplish the task rather than sending it back to the person that didn’t fulfill the need to begin with.
· Coordinate and oversee the welcoming process on Sunday’s and the departure process. Personally, greet each guest upon arrival creating an ambiance of warmth and friendliness.
· Assist guests with check-in and check out procedures and ensure a smooth process.
· Addressing guest inquires, concerns, request promptly and professionally.
· Resolve guests’ complaints and issues aiming to exceed expectations. Provide information and recommendations about our facility, services, and local attractions.
· Coordinate special requests such as room upgrades and transportation. (i.e. non-deliverable medications, on-campus appointments, etc.)
· Act as a liaison between guest and Hippocrates team members.
· Monitor each and every guest, make sure none fall through the cracks. This has been an ongoing problem.
· Keep your eyes open if guests are not seen attending the programs such as eating or showing up for scheduled meetings. Search them out.
· Monitor guest feedback and reviews. Taking necessary action to improve current requests and future experience.
· Build a strong relationship so that guests want to return.
· Monitor, set up guests, and assist with guest lectures, as needed.
· Follow up on all open ticket items until complete.
· Monitor guest related maintenance and housekeeping request in Maintain X for items that need service.
· Handle problems that are escalating at the desk, sales, or any other department.
· Facilitate communication both oral and written between guests and staff be it email, Zingle, Mews, and other HW software.
· Analyze and arrange reports for senior management per request.
· Honor and comply with all HW policies and procedures set in place.
· Assure all records are handled accordingly and with confidentiality.
· Attend mandatory care meeting on Wednesdays at 1:00pm.
· Bring food and juice to any guest that has returned from the hospital.
· Willingly accept other various tasks delegated by Executive Management.
· Make announcements during breakfast, lunch, and dinner to broadcast what is next on the schedule.

Physical Requirements & Qualification: Pushing, pulling lifting & carrying average weight 25-50lbs. Frequently: reaching, standing & walking: constantly kneeling & bending: Sitting: occasionally. Ability to work in all weather.
