Job Overview:
The Executive Assistant position is designed for a highly professional and detail-oriented individual to support both the CEO and President of multiple commonly owned entities. The ideal candidate will be a global thinker, capable of driving strategic initiatives and aligning processes across the organization. In this role, the Executive Assistant will provide critical administrative support, manage key projects, and coordinate marketing efforts with an external marketing firm. This position requires a high level of organization, communication skills, and the ability to manage a variety of tasks to ensure the smooth operation of the business.
Key Responsibilities:
- Provide executive-level administrative support to both the CEO and President of multiple entities.
- Manage and organize calendars, schedules, meetings, and travel arrangements with precision.
- Assist in coordinating and executing strategic projects, ensuring alignment with organizational goals and processes.
- Serve as the primary point of contact with the marketing firm.
- Assist in preparing and reviewing materials, reports, presentations, and correspondence for internal and external communications.
- Assist in preparing items for marketing and client giveaways.
- Support the development of strategic initiatives and ensure timely execution of projects.
- Organize and maintain records, files, and documents with a high degree of accuracy and confidentiality.
- Handle day-to-day administrative duties, including answering calls, managing emails, and ensuring smooth communication within the office.
- Support the financial operations by assisting with bookkeeping tasks using QuickBooks Online (QBO).
- Assist with data entry including but not limited to CRM's and payroll software.
- Assist in generating and analyzing reports using PowerBI or Tableau and Excel to support business decision-making.
- Help organize company events and initiatives, including coordinating trade shows and client giveaways.
- Ensure adherence to company processes that align with broader organizational strategies.
Qualifications:
- Minimum of an Associate’s Degree required; Bachelor’s degree preferred.
- Proven experience in executive assistance, administrative support, or project coordination.
- Strong proficiency in Microsoft Outlook, Word, Excel, PowerBI or Tableau, QuickBooks Online (QBO), and Canva.
- Excellent written and verbal communication skills, with the ability to interact effectively with a variety of stakeholders.
- Ability to think globally and manage projects that align with larger business objectives.
- Highly organized, detail-oriented, and capable of managing multiple tasks and deadlines.
- Ability to work independently, proactively manage tasks, and collaborate with various teams.
- Professional appearance and demeanor, with the ability to represent the CEO & President effectively.
- In-person work schedule; part-time will be considered.
Work Location & Schedule:
- Jackson, Ohio
- Monday - Friday, Full-Time (8:30a-5p), will consider Part-Time ( 9a-1p Monday-Friday)
