Role Description:
As a Client Relations Specialist, you will serve as the primary contact for retirement plan participants and employers, offering personalized support to help them navigate their retirement accounts. Your role centers on delivering exceptional customer service and expert guidance on plan features, investment options, account management, and other key aspects of 401(k) and 403(b) plans.
In addition to educating and supporting clients, you’ll be responsible for identifying and resolving issues, answering complex questions, and troubleshooting account-related concerns. Your problem-solving skills will be critical in helping participants and plan sponsors overcome challenges and make informed decisions about their retirement savings. You’ll work closely with our internal teams to ensure clients receive timely, accurate information and feel confident in their financial journey.
Key Responsibilities:
- Account Management:
Assist participants with account setup, enrollment, and beneficiary designation. Guide them through updating personal information and adjusting investment allocations to align with their financial goals. Help plan administrators navigate the web portal and answer retirement plan-related questions.
- Compliance and Regulations:
Stay current on retirement plan regulations, tax implications, and industry updates. Ensure all communications and interactions with participants and administrators comply with applicable laws and company policies.
- Problem Resolution:
Effectively address participant and plan administrator concerns, escalating complex issues to the appropriate internal teams when needed. Take ownership of problem resolution and follow up to ensure a satisfactory outcome.
- Client Outreach:
Proactively engage participants and administrators by offering assistance, providing updates, and promoting retirement planning education. Encourage increased contributions and positive savings behaviors.
- Reporting and Documentation:
Maintain accurate records of participant interactions and activities using the CRM system. Generate and analyze reports for plan administrators and participants to identify trends and opportunities for improvement.
- Front Desk Operations:
Assist with front desk operations as needed, ensuring a seamless customer experience.
- Other Duties and Projects:
Perform additional tasks and participate in special projects as assigned by management.
Organizational Relationships:
The Client Relations Specialist reports to the Client Services Manager and works within a collaborative team environment. Cross-departmental collaboration will be essentential for special projects and daily business needs. This role requires a strong commitment to maintaining exceptional levels of participant and plan sponsor satisfaction.\
Position Requirements and Competencies:
Qualifications:
- High school diploma or GED equivalent required; college education preferred.
- Minimum of 1-3 years of experience in a customer service role, preferably related to benefits or employee benefit administration. Experience in financial services is a plus.
- Preferred active license in Series 65, 63, 7, or any retirement plan certification.
- Credentials with ASPPA, such as QKA, CPC, or other certification programs in 401(k) and 403(b) workplace retirement plans, are preferred.
- Excellent written and verbal communication skills.
- Experience with CRM programs.
- Proficient in Microsoft Office.
