JOB SUMMARY
The Transportation Clerk plays a key role in supporting the daily operations of an HISD Transportation Terminal by providing timely and accurate administrative and clerical support. This position helps ensure the safe and efficient transportation of students by maintaining essential records, supporting routing and scheduling functions, and providing responsive service to parents, staff, and campus personnel.
In line with HISD’s commitment to operational excellence and service to schools, the Transportation Clerk works collaboratively with transportation leadership and school communities to uphold high standards of accuracy, communication, and responsiveness in all assigned duties.
MAJOR DUTIES & RESPONSIBILITIES
1. Respond professionally to inquiries from parents, school staff, and administrators regarding student transportation schedules, routes, policies, and concerns, ensuring clarity and timely resolution.
2. Perform general office duties including answering phones, managing correspondence, filing, photocopying, and distributing mail to support the terminal’s operational efficiency.
3. Enter and update transportation-related data in routing software and student information systems to ensure real-time accuracy in service records and logistics.
4. Assist in processing operational documents, including field trip requests, driver timesheets, and vehicle maintenance records, ensuring timely and accurate tracking.
5. Coordinate communications between the transportation terminal and campuses, drivers, families, and other departments to ensure seamless service delivery and problem resolution.

6. Maintain accurate records of routes, ridership, driver assignments, and special transportation requests; prepare and distribute routine reports on service performance, compliance, and scheduling.
7. Support the processing of transportation requests, including those related to special education and individualized student needs, ensuring accuracy and compliance with district policy.
8. Assist in preparing internal communications, memos, or training materials for transportation staff to support consistency in operations and expectations.
9. Provide flexible administrative support during peak operational periods such as the start of the school year, high-volume field trip seasons, and emergency events.
10. Perform other job-related duties as assigned, contributing to the department’s mission of delivering safe, student-centered transportation services across HISD.
EDUCATION
High School diploma or equivalent required
WORK EXPERIENCE
1 year of clerical or administrative support experience, preferably in a school or transportation environment
SKILL AND/OR REQUIRED LICENSING/CERTIFICATION
SAP, Microsoft Office
Office equipment (e.g., computer, copier)
Basic data entry and recodkeeping practices
Communicate effectively both rally and in writing
Prioitize and manage multiple tasks under time condtraints
Exercise discretion anf maintain confidentiality
Interact professionally with staff, parents, and the public
LEADERSHIP RESPONSIBILITIES
No supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice and training staff.
WORK COMPLEXITY/INDEPENDENT JUDGMENT
Work and tasks are often straightforward, routine, structured and guided by established policies and procedures. Little, if any, independent judgment is required, outside of making basic choices in the selection and application of established methods. The job receives frequent, ongoing supervision.
BUDGET AUTHORITY
No budget development activity is required.

Decisions are made on routine matters affecting few individuals and usually within the confines of the job's own department. Specific job activities and results are typically reviewed closely. There are limited requirements for developing new ideas or changes in methods, procedures or services.
IMPACT OF DECISIONS
Follows rules and procedures. Decisions can have minimal or no impact to HISD. Errors can be readily detected, usually by the employee, and, if made, would result in minor expense for correction.
COMMUNICATION/INTERACTIONS
Basic communication - very little communication required such as receiving basic instructions. Interactions are mostly with customers, own supervisor and co-workers in own department.

Follows through with customer inquiries, requests and complaints. Forwards difficult and non-routine inquiries or requests to appropriate level for resolution.
WORKING/ENVIRONMENTAL CONDITIONS
Work is normally performed in a typical interior work environment, which does not subject the employee to any hazardous or unpleasant elements.
• Valid Texas driver’s license with applicable insurance coverage.
