What are the responsibilities and job description for the Controller position at Historic New England?
Historic New England seeks an experienced and skilled Controller to lead the day-to-day accounting and fiscal management functions of our organization's Finance team. Reporting to the Director of Finance, the Controller is responsible for managing multiple deliverables and operational processes along with providing strategic support and analysis.
Essential Functions
- Provides day-to-day strategic leadership and guidance to the Finance team, maintaining a comprehensive set of controls to mitigate risk and identify errors.
- Working with leadership, develops long range financial plans, business plans, financial impact analysis for new and modified programs, and anticipated year-end forecasting, identify risks and opportunities.
- Develops, documents, monitors and maintains various reporting and cost allocations, business processes and accounting policies in compliance with generally accepted accounting principles (GAAP) and museum best practices to maintain and strengthen internal controls while meeting the needs of the organization's partners and funding organizations.
- Translates information from budget, accounting, and analytic processes into effective communication tools for multiple audiences including trustees and staff.
- Provides financial analysis and support for the trustees, audit, finance, and investment committees, communicating financial and operational information and reporting to the trustees and committees as assigned.
- Supports the Director of Finance with the organization’s annual operating budget development, including cost projections, cash flow and trend analysis.
- Manages and monitors daily cash flow and cash flow projections, reviewing revenue control and cash reconciliations.
- Manages the timely completion of monthly financial reporting, monitoring budget-to-actual variances of approximately 115 cost centers, ensuring completeness of all monthly journal entries and expense inputs, and monthly revenue reconciliations.
- Leads the organization’s annual financial audits and manages and monitors the preparation of federal and state filings, including tax filings (Forms 990 and 990Ts and state PC), semi-annual bond compliance reports, and other related reports to ensure compliance with reporting requirements.
- In coordination with the Director of HR and the COO, provides financial analysis and evaluates and recommends annual adjustments to employee compensation and annual benefits program renewal.
- Monitors and ensures compliance of retirement program(s) in accordance with ERISA regulations serving as the plan sponsor for the 403B ERISA plan, reviewing and submitting bi-weekly 403B contributions to our retirement custodian in a timely manner.
- Administers and maintains accurate records of restricted gifts and grants and over 130 restricted, board-designated, and endowment funds, accurately accounting for and reporting on individual endowment fund activity via virtual platform.
- Works with the development team to support foundation and grant applications and reporting and the collection of pledges, ensuring that development data between the financial and development databases are reconciled monthly.
- In partnership with information technology and other teams, reviews, analyzes, and optimizes the effectiveness of financial management systems, efficiently implementing new modules in accounting software (Acumatica) to ensure accurate integration with the general ledger from multiple databases (Tessitura, ADP Workforce Now, Fundriver) and other subsidiary ledgers.
- Administers, negotiates, and maintains accurate records and revenue collection of commercial, residential, and agricultural leases held by others for use of Historic New England properties, working with property management team on certain lease renewals.
- Provides financial analysis of insurance programs for annual renewal.
- Develops, monitors, and maintains various reporting and cost allocations in compliance with GAAP, museum best practices, and the needs of Historic New England partners and funding organizations.

Supervises and oversees the Staff Accountant, Accounts Payable and Accounts Receivable Specialist
Experience and Attributes
Key Qualifications:
- Bachelor’s degree in related field or equivalent combination of skilled credentials.
- Minimum of six years non-profit accounting experience, including five years of supervisory experience.
- Experience managing external audits, internal controls, and change management.
- Experience creating and managing budgets ($20M), capital plans, cash flow and forecasting, and managing restricted and unrestricted funds. Preference for experience with endowed funds and grants management.
- Functional up-to-date knowledge of various accounting and donor management software (Acumatica, Tessitura CRM or similar). In-depth understanding and fully competent use of technology in financial accounting, reporting and retail operations is required.
Preferred Qualifications:
- Degree in Finance or Accounting.
- CPA
- Data management skills and software implementation experience strongly preferred.
Competencies:
- Thorough and up-to-date knowledge of non-profit accounting principles and procedures with the ability to implement appropriate internal control procedures, GAAP, and other non-profit accounting and tax regulations.
- Fully competent technology and computer skills, including advanced working knowledge of Microsoft Excel and various MS360 applications (i.e., Word, PowerPoint), internet search navigation, project management systems, virtual meeting platforms (Zoom), and email and calendar management (Outlook).
- Excellent analytical and problem-solving skills with the ability to communicate and interact diplomatically, effectively and with courtesy both verbally and in writing.
- Strong attention to detail with the ability to manage multiple projects simultaneously, adapting to change and balancing priorities.
- Ability to work independently, taking initiative to complete work with minimal oversight while managing one's own time and making decisions within project parameters exercising sound judgment.
- Ability to operate effectively and objectively in a team environment, where a deep understanding of team approach and effective communication within and across working groups is essential to success.
- Excellent leadership interpersonal skills with the ability to listen, mentor, guide, and achieve goals.
- Adept ability to handle complex and confidential information with professionalism and discretion.
- Valid driver’s license and means of transportation.
