About the Role:
Reporting to our Operations Manager, we are seeking a dedicated and versatile Workplace Services Specialist to join our team. This role is crucial in maintaining a smooth-running, efficient, and supportive work environment for our employees, while also contributing to our community outreach efforts by supporting our Family Resource Center logistics and donations.
This is a highly cross-functional role supporting the workplace operations at Hively. It is an opportunity to help make an impact in our community and for our team members. You will be supporting our multiple office locations (in Pleasanton, Livermore, Oakland, San Leandro, and Fremont), and will be required to travel to them as needed.

This role is crucial in maintaining a smooth-running, efficient, and supportive work environment for our employees, while also contributing to our community outreach efforts by supporting our Family Resource Center logistics and donations.

What You Will Do:
- Assist with workplace operations for Hively offices in Alameda County, and execution of office and facility maintenance projects
- Manage logistics for company donations and stock of family resource centers, including inventory, transportation, and distribution of goods
- Operate our Mobile Family Resource Van, and attend outreach events with our Community Engagement Team across Alameda County
- Assist with set-up and take-down for outreach and internal events
- Work with Operations Manager to ensure compliance with workplace health and safety regulations
- Contribute to creating a positive work environment through various initiatives and support services
- Provide excellent on-site service to external partners, visitors, and new employees onboarding while delivering a positive experience during correspondence and when they are on-site
- Maintain IT and office equipment inventory
- Coordinate and execute workplace projects, including people moves, tenant improvements, maintenance, repairs, etc
- Respond to general office and facility requests, troubleshoot basic IT and device issues, and escalate as necessary
- Other duties as assigned
- 1-2 years of experience in office management, facilities services, or a similar role
- Strong organizational and problem-solving skills
- Excellent communication and interpersonal abilities
- Basic IT knowledge and technology troubleshooting skills
- Proficiency in Google Suite and Microsoft Office
- Physical stamina and ability to lift and move heavy objects (up to 50 lbs) regularly
- Valid driver's license with a clean driving record, comfortable driving large vehicles and navigating throughout the county
- Flexibility to work occasional evenings or weekends for special events or urgent facility needs
- Basic knowledge of facility maintenance and repair procedures
- Familiarity with health and safety regulations in a workplace setting
- Experience in logistics and inventory management is a plus
- Spanish speaking is a plus
- Ability to sit at a desk, conference table or in meeting rooms of various configurations for extended amounts of time
- Ability to stand for extended amounts of time
- Manual dexterity to use a telephone and computer
- Facility to hear and understand speech at normal room levels, and to hear and understand speech on the telephone
- Facility to speak in audible tones so that others may understand clearly in normal conversations and over the telephone
- Physical agility to lift and carry up to 50 pounds and to bend, stoop, walk, and reach overhead
- Physical agility to push/pull, squat, twist and turn
- Mental acuity to perform the essential functions of this position in an accurate and timely fashion; to make good judgments and decisions; and to evaluate the results of decisions and judgments
